Position Summary: The Receptionist is responsible for performing administrative tasks within an office setting to support daily operations. These duties include answering and transferring phone calls to employees/clinics, sorting, and delivering mail to employees, ensuring proper set-up of conference rooms and greeting visitors when they arrive for meetings.

This role also provides administrative support and report to the Director, Corporate Administration.

Essential Duties and Responsibilities:

  • Answer phones utilizing professional and courteous telephone etiquette.
  • Greet employees and guests in a professional, friendly, hospitable manner.
  • Receive and distribute deliveries to/from UPS/USPS/FEDEX.
  • Provide callers with information such as company address, company fax numbers, company website, and other related information.
  • Check the company website email box and voicemail box multiple times a day and appropriately redirect emails and voicemails as needed.
  • Receive and sort incoming mail. Notify employees in a timely manner to pick up their mail.
  • Manage lobby area (turning on/off lights) and ensure that the lobby is presentable for guests.
  • Submit building maintenance request tickets through the Angus AnyWhere app.
  • Run USPS mail through the postage meter and add funds to the postage meter when necessary.
  • Schedule weekly/monthly refrigerator clean out in the Resource Center Cafe.
  • Responsible for the rinsing/cleaning of the Virtu coffee machine two times a day (upon arrival and before leaving for the day).
  • Proactively ensures that kitchen supplies are fully stocked and replenished each day –(cups, paper towels, cutlery, plates, drink supplies, etc.)
  • Assist with Certificate of Insurance requests and distribution and the renewal of individual location business licenses.
  • Process all UPS mailing requests by utilizing the WorldWide Express Account Online system.
  • Evaluate and approve/decline calendar invites for three Resource Center conference rooms (PRLC, Mark Kaufman Board Room, Executive) and/or suggest alternative options.
  • Provide general administrative support to enable effective business operations.

Qualifications:

  • Education:
  • High School diploma or equivalent experience required
  • Work Experience:
  • Minimum one year office/customer service experience required
  • Certification/Licensure:
  • None required
  • Knowledge and Technical Skills:
  • Proficiency with MS Office applications (Word and Outlook) required
  • Familiarity with phone systems (8x8 preferred)
  • Must communicate well in a professional setting and have a professional appearance
  • Excellent phone etiquette; patience and listening skills to respond appropriately and interact positively with all callers.
  • Must be a team-player
  • Must be effective in multi-tasking; comfortable with fast-paced work environment
  • Must be organized and self-directed; able to work with minimum supervision

Language Skills:

  • Ability to read, write and speak English proficiently

Physical Demands:

  • Ability to fulfill office activities including but not limited to remain stationary for extended periods of time (i.e., while working at a desk), stoop/kneel/crouch, travel around the office, communicate with others (verbal and written), and use fine motor skills including fine hand manipulation and keyboarding.
  • Ability to see at close range, distance vision, peripheral vision, depth perception, and the ability to adjust focus.

Work Environment:

  • Consistent with a standard office environment, noise level is low with little to no extraordinary environmental factors.

Salaried ranges listed are for full time (40 hour) employees. Additional pay such as incentive, GAP, overtime, and stipends are subject to the rules of each program and may not be available in all locations. Individual base pay depends on various factors, in addition to primary work location, such as complexity and responsibility of role, job duties/requirements, and relevant experience and skills.

Base pay ranges are reviewed and typically updated each year. Offers are made within the base pay range applicable at the time.

Minimum Salary/Wage: USD $20.00/Hr.

Maximum Salary/Wage: USD $26.00/Hr.
