Main Duties:

  • Desk Diary Management: Effectively maintain calendars, scheduling important meetings, conferences, and events promptly and professionally.
  • Documentation Management: Generate, transcribe, and distribute meeting materials, ranging from agendas to minutes.
  • Call Handling: Skillfully receive and screen incoming telephone calls, understanding their priority, and taking appropriate messages and actions as needed.

  • Finances: Manage departmental invoices, bills, and payments through accounts payable, and process payments via a corporate credit card, if applicable.
  • Mail Handling: Thoroughly analyze incoming mail, memos, submissions, and reports, determine their importance, and arrange their distribution as required.
  • Office Operations: Recommend changes or improvements in office systems and work conditions. Maintain an efficient inventory of office supplies, ensuring the department is always sufficiently supplied.
  • Interface Management: Serve as the main administrative contact, interacting and liaising with both internal and external contexts.

Candidate Requirements:

  • Previous healthcare industry experience preferred.
  • Bachelor's degree in a relatable field, or equivalent work experience.
  • Exceptional organizational skills and attention to detail.
  • Strong interpersonal skills with excellent written and verbal communication.
  • Proficiency in Microsoft Office applications (Excel, Word, PowerPoint, and Outlook).
  • Ability to work independently and as part of a team.
  • Familiarity with operating standard office equipment.
