Robert Half is assisting a leading biotechnology company in their search for a detail-oriented and customer-focused Front Desk Coordinator. This role is essential for maintaining a professional and welcoming atmosphere while providing critical administrative support to ensure smooth front-office operations.The ideal candidate will thrive in a fast-paced, innovative environment and possess exceptional organizational and interpersonal skills.
Key Responsibilities:
- Welcome and assist visitors, clients, and team members with a professional and positive attitude.
- Answer, screen, and direct phone calls and emails promptly and courteously.
- Maintain the reception area’s cleanliness and ensure it reflects the company’s high standards.
- Coordinate scheduling for meetings, interviews, and other office activities.
- Assist with onboarding new employees by preparing materials and coordinating access.
- Manage incoming and outgoing mail, packages, and shipments.
- Order and track office supplies, ensuring inventory levels meet office needs.
- Provide administrative support to various departments, including filing, data entry, and preparing documents.
- Maintain visitor logs, confidentiality agreements, and other front-office documentation.
- Address and resolve front-office issues efficiently, escalating as necessary.
- Perform additional tasks as required to support the biotechnology team’s objectives.
Qualifications:
- Proven experience in a front desk, receptionist, or administrative role, ideally in a biotech or related industry.
- Strong verbal and written communication skills with a customer-service mindset.
- Exceptional organizational skills and the ability to multitask in a dynamic work environment.
- Proficiency in Microsoft Office Suite and familiarity with office equipment.
- Professional demeanor and the ability to maintain confidentiality.
- Experience with biotechnology or scientific terminology is a plus, but not required.
- Familiarity with scheduling tools and office management software is preferred.
