About the Job:
The External Relations Department is looking for a highly organized individual with demonstrated administrative support and customer service skills in an Administrative Assistant II role. The ideal candidate will possess a proactive mindset and will provide a range of high-level administrative support to the External Relations team.They will serve as the main point of contact for the department while ensuring seamless operations.
What Youll Do:
- Schedule and organize meetings with internal and external stakeholders; proofread agreements and amendments for completeness and route for signature; compose, format, and review presentations, correspondence, and other documents as requested; serve as a back-up for the front desk receptionist to greet visitors and answer phone calls regarding the San Diego International Airport.
- Review invoices for accuracy and process check requests for payment. Handle monthly accounting accruals for the department and serve as the Purchasing Card (P-Card) holder for non-routine business purchases.
- Assists with scheduling travel and processing travel reimbursement requests; prepares and routes agendas, materials, and packets for Board and Committee presentations.
- Responds to requests for information from the public and internal departments and routes to the appropriate staff. Reviews and routes incoming correspondence.
- Serves as the departments records coordinator; ensures electronic documents are filed appropriately per the Authoritys records retention policy; may assist with compiling information for public records requests of the department.
- Coordinates work orders for repairs, upgrades, and modifications to Authority facilities or equipment with other departments or vendors; maintains payment records for contracted services; maintains inventory and orders office supplies.
- Ensures the timely delivery of reports to Board members and an Executive Leadership Team.

- Judgement & Decision Making: Ability to exercise discretion and good judgement when dealing with highly sensitive, confidential, and complex situations; when conducting transactions with other departments, vendors, and the public. Solving non-routine problems based on experience-based knowledge.
- Time Management & Coordination: Ability to prioritize rapidly moving deadlines and various tasks to meet the departments needs and manage personal workflow.
- Customer Service: Provides assistance and support to the Department Senior Director, departmental staff, and outside stakeholders on diverse and specialized clerical functions with a friendly and welcoming demeanor. Experience communicating with boards of directors and executives is an asset.
- Communication: Proficiently exchange information through various avenues including verbal, digital, and written; facilitation and persuasion with both internal and external stakeholders.
- Relationship & Interpersonal Skills Cultivates interpersonal rapport and trust, both up and down, by exhibiting consistency and reliability.
- Leveraging Technology - Effectively uses and generates information electronically and integrates technology solutions and systems.
Requirements
The Experience You Need to Have**:
Graduation from high school or G.E.D. equivalent.
Four years of increasingly responsible office administrative or secretarial experience.
Or an equivalent combination of training and experience.
Preferred Education, Certification, and Licenses:
Bachelor's degree in Business Administration or a closely related field.
