Office Manager

We are inviting applications for the role of Office Manager in our healthcare facility located in Orange, California. As an Office Manager, you will be a key figure in ensuring the smooth operation of our office, primarily managing payroll, HR functions, and administrative tasks.
This role is a contract-to-permanent employment opportunity.
Responsibilities:
- Manage bi-weekly payroll processing for a significant number of employees, ensuring compliance with labor laws and company policies.
- Maintain comprehensive payroll records, including timecards, PTO balances, and deductions.
- Administer HR functions like onboarding, orientation for new permanent staff, and tracking leaves of absence.
- Serve as the primary point of contact for payroll and HR-related inquiries.
- Maintain compliance with federal, state, and local employment laws.
- Oversee daily office operations to ensure efficiency and organization.
- Provide administrative support to the leadership team as required.
- Maintain organized and secure employee records, resident files, and facility documentation.
- Process light accounts payable/receivable tasks, including invoice entry, payment scheduling, and basic reconciliations.
- Record and track incoming payments and vendor invoices.
- Ensure office compliance with policies and procedures while supporting the needs of a residential memory care facility.
- Serve as a liaison between the administrative office and care staff to support operational excellence.
- Assist in ordering office and facility supplies and managing vendor relationships.
- Proficiency in Accounting Software Systems is mandatory.
- Experience with ADP - Financial Services is required.
- Familiarity with CRM tools is needed.
- Knowledge of About Time software is a must.
- The candidate must be adept at various Accounting Functions.
- Handling Accounts Payable (AP) and Accounts Receivable (AR) is essential.
- The ability to manage Answering Inbound Calls effectively is necessary.
- Experience with ADP - Payroll is required.
- Familiarity with Automated Payroll is essential.
- The candidate must have experience in managing Benefits Payroll.
- Experience with bi-Monthly Payroll is necessary.
- The candidate should have experience in managing Full Cycle Payroll
