Billing Clerk

The Billing Clerk will be responsible for managing the preparation and submission of accurate and timely invoices for construction projects. This role requires strong attention to detail, familiarity with construction contracts and billing terms, and the ability to communicate effectively with project managers, clients, and vendors.

Key Responsibilities:

Invoice Preparation and Submission:

  • Generate and issue invoices based on project schedules, time, and materials.
  • Review contracts, change orders, and job cost reports to ensure accurate billing.
  • Handle progress billing, including AIA (American Institute of Architects) documentation, when applicable.

Customer and Project Coordination:

  • Communicate with clients to ensure invoices are received and address any questions or discrepancies.
  • Collaborate with project managers and field teams to confirm billing accuracy and project status.

Accounts Receivable Support:

  • Track outstanding invoices and follow up on overdue payments.
  • Assist in reconciling accounts receivable balances and preparing aging reports.

Documentation and Compliance:

  • Maintain organized billing records and ensure compliance with lien waivers, insurance requirements, and other contract terms.
  • Assist with audits related to project billing and contracts.
  • Recommend improvements to billing workflows to enhance accuracy and efficiency.
  • Assist in creating and updating standard operating procedures (SOPs) for billing processes.

Qualifications:

  • Education: Associate’s or bachelor’s degree in Accounting, Finance, or a related field (preferred).
  • Experience:
  • 2+ years of billing experience, preferably in the construction or related industry.
  • Familiarity with construction-specific accounting software (e.g., Procore, Sage 300, or QuickBooks).
  • Skills:
  • Strong understanding of construction billing practices, including retainage and progress billing.
  • Proficiency in Microsoft Office Suite, particularly Excel.
  • Excellent organizational and time management skills.
  • Clear communication and interpersonal abilities.

Preferred Experience:

  • Knowledge of AIA billing standards and lien waiver processes.
  • Familiarity with multi-entity or large-scale construction projects.
