Overview:
The Department of Electrical and Computer Engineering seeks a Graduate Program Administrator to manage all aspects of its graduate program, one of the largest PhD programs at Princeton, with ~250 students. The program also includes the Master of Engineering degree and attendance of visiting student research collaborators.Reporting to the Senior Manager, the Administrator works closely with the Director of Graduate Studies (DGS) and Associate DGS and serves as key liaison between the department and its main constituents: graduate students, faculty, Office of the Registrar, Graduate School, Davis International Center and other University administrative units.
Responsibilities:
- Counsel faculty and students on policies, academic affairs, student life and financial support with sound judgment and discretion with sensitive information.
- Manage curricular milestones including General Exam scheduling and reporting, minor and teaching assistance requirements, FPO paperwork submissions, post FPO paperwork, and the annual re-enrollment process.
- Oversee the critical graduate admission process which includes the preparation and dissemination of applicants’ data to Chair, DGS, Graduate Committee, and entire faculty, and participates in various committee meetings.
- Manage non-degree students and Visiting Student research Collaborators (VSRC) – admissions through arrival and departure.
- Manage the annual student re-enrollment process.
- Oversee the department's mentoring program for incoming first-year students.
- Collaborate with the Graduate Student Committee, Graduate Student Social Committee, and Graduate Student Mentors for their needs as committees as well as the needs for the students as a whole. Help to shepherd their requests to the department leadership and assist the committees in managing their programs as needed.
- Manage the graduate student teaching budget and provide analyses for the Dean of Faculty Office. Coordinate the teaching assistance assignments with related courses and ensure the allocated chart strings in Labor Accounting are recorded accurately and timely.
- Work with the Registrar's office for new requirements in scheduling, course requirements, and other initiatives. Follow up with faculty for their course requirements each semester and their AI requests for all ECE courses.
- Work with the Undergraduate Coordinator and Director of Undergraduate Studies and the chair to maintain the teaching plan and grid of all ECE courses each semester.
- Coordinate Events: Graduate Commencement Ceremony, New Student Welcome Reception and Five-week Orientation Program, Prospective Student Visit Day (3-day event with ~45 attendees), Town Hall Meetings, and New Student Reception.
- Manage the nomination award process for two internal graduate student awards.
- Other administrative duties include the financial management of program budget, maintenance of the graduate program website, and updates of the Graduate Student Handbook.
- Supervise, support and develop a 50% support staff member, the Assistant Graduate Program Coordinator.

- Bachelor’s Degree or equivalent experience.

- Strong oral/written communication skills
- Superior interpersonal skills (customer service) including the ability to identify mutual interests/needs and work collaboratively
- Demonstrated ability to gather, analyze, interpret, and present data (quantitative and qualitative)
- Ability to exercise good judgment, maintain confidentiality, and handle sensitive information in a discrete manner
- High level of competency with Word, Excel, PowerPoint and G-suite.
- Working knowledge of Princeton University business systems such as PeopleSoft, Labor Accounting, Information Warehouse, Prime, Concur, Canvas.
- Experience working with faculty and students in a university setting.
