Administrative Assistant - New York
Job Summary:
We are looking for an enthusiastic and organized Administrative Assistant to join our team and help us with our daily operations. The Administrative Assistant is responsible for performing highly diversified administrative and organizational duties in support of the offices of the CEO & President, the 92NY Executive Leadership Team and Board of Directors, when appropriate.This includes assisting in communication and scheduling with internal groups, across 92NY departments as well as with external organizations and individuals. The job holder will also work on special projects as assigned by managers and provide ad hoc support to other departments across the organization as requested or desired.
This candidate should have excellent organizational and communication skills and be able to multi-task in a fast-paced environment.
Job Responsibilities Include:
- Provides scheduling, coordination assistance, and overall administrative support to the 92NY Executive Office, including technology and calendar management, event planning and set-up assistance.
- Prepares materials for various meetings and committees and assists in the creation of presentations, project / programming updates and the submission of various reports for distribution.
- Serves as a key point of contact for 92NY Executive Leadership Team and Board of Directors for administrative and technical matters including the greeting of external guests, set up of hybrid internal meetings, and more.
- Handles incoming communications, mail, email, and phone calls prioritizing items for the Executive Director’s attention. Where appropriate, directs requests to the relevant 92NY department or specific staff members.
- Completes work on special projects, including research activities, as assigned, and directed by CEO, President and Associate Director, Executive Administration and Special Projects.
- Performs other related duties as required including assisting other members of the Executive Leadership Team when requested.
Experience, Education, & Skills Desired:
- Bachelor's degree preferred.
- Minimum three years’ experience working for an executive level director, preferably within an arts, educational or programming environment.
- Proven high-level of expertise in using Microsoft Office Suite.
- Demonstrated experience working in an environment requiring a high level of attention to detail is essential.
- Strong ability to organize, prioritize and execute responsibilities to manage a demanding workload.
- Proficient in managing multiple projects simultaneously while navigating conflicting priorities and unexpected challenges.
- Exceptional interpersonal skills, with the diplomacy and poise to engage effectively with patrons, including major and high-profile donors.
- A collaborative team player who thrives in working efficiently with colleagues.
Work Environment & Requirements:
40 hours/week. Monday – Friday, 9:00 a.m. – 6:00 p.m.

Compensation Range
$55,000 - $58,000
The actual compensation offered will be based on a number of factors including, but not limited to the qualifications of the applicant, years of relevant experience, level of education attained, certifications or other professional licenses held, and if applicable, the location in which the applicant lives and/or from which they will be performing the job.
