Bilingual Administrative Assistant

We are seeking a skilled Bilingual Spanish Administrative Assistant to provide administrative support in both English and Spanish. The ideal candidate will be highly organized, detail-oriented, and proficient in both languages. This position plays a crucial role in facilitating communication and coordination within the organization and with Spanish-speaking clients or partners.

Responsibilities:

  1. Provide administrative support to ensure efficient operation of the office.
  2. Assist with the preparation of documents, reports, and presentations in both English and Spanish.
  3. Handle incoming calls and correspondence, responding promptly and professionally.
  4. Translate documents, emails, and other communications from English to Spanish and vice versa.
  5. Coordinate meetings, appointments, and travel arrangements, including scheduling and logistics.
  6. Maintain office supplies inventory and ensure proper stocking.
  7. Assist in the preparation of meetings and events, including arranging catering and other logistics.
  8. Manage and organize files, both digital and physical, ensuring accuracy and accessibility.
  9. Assist in the onboarding process for new employees, including preparing documentation and orientation materials in Spanish.
  10. Collaborate with other team members to support various projects and initiatives.
  11. Handle confidential information with discretion and professionalism.
  12. Fluency in both English and Spanish, with excellent written and verbal communication skills in both languages.
  13. Proven experience as an administrative assistant or similar role.
  14. Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other office software.
  15. Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  16. Attention to detail and accuracy in all work.
  17. Excellent interpersonal skills and the ability to work effectively in a team environment.
  18. Adaptability and flexibility to handle changing priorities and tasks.
  19. Knowledge of office management systems and procedures.
  20. Associate's degree or higher in Business Administration or a related field is preferred.
