CEO - SPADE Enterprise Centre & Shared Kitchen

Salary: Range up to 75,000 commensurate with experience
Hours: Full time 35 hours per week

Location: Onsite in Smithfield, Dublin with option of 1 day remote working

SPADE also offers a limited number of kitchen facilities for growing food businesses. A new Shared Kitchen was recently built and opened for members at the earliest stage of incubation.

Core Job Responsibilities:

Your responsibility as CEO of SPADE is to oversee the administrative, operational, financial, business, marketing and customer service activities that facilitate the smooth running of an enterprise centre, organising people, information and other resources.

You will be responsible for ensuring that all relevant records are up to date, all administrative processes work effectively and efficiently, that the facilities and grounds of SPADE are maintained and in good working order.

SPADE is a small organisation and as such you will be required to be hands on and to carry out many administrative tasks yourself and a high level of flexibility and teamwork is required.

The implementation and training for all regulatory legislation including health & safety, GDPR and other policies will be an important part of the remit.

Reporting to and working closely with the Board of SPADE.

Key Job Duties include but are not limited to:

Staff Management
  • Maintenance and Development of Staff Complement by recruiting, selecting, orienting, and training employees; maintaining a safe, secure environment that is fully compliant with all regulatory legislation; developing personal growth opportunities as directed by the Board.
  • Ensuring adequate staff cover for absences and peaks in workload
Strategy
  • Assisting in the establishment and implementation of strategic goals in collaboration with the Board by gathering pertinent business, financial, service, and operations information; identifying and evaluating trends and options; defining objectives; evaluating outcomes.
Finance
  • Accomplishing financial objectives by forecasting requirements; preparing an annual budget; scheduling expenditures; analysing variances; initiating corrective actions.
  • record office expenditure and manage the budget (SPADE is currently using Xero, a financial software package)
  • Reviewing Monthly Management information and highlighting area for action
Quality of Service and Best Practice
  • Supporting the Board in the development of SPADE
  • Maintaining quality service by enforcing quality and customer service standards; analysing and resolving quality and customer service problems; identifying trends; recommending system improvements.
  • Proficiency in a range of software to ensure the efficient running of the office
  • Develop and implement new administrative systems, such as record management
  • Maintaining the good and safe condition of the entire Enterprise Centre including the grounds and units and arranging for necessary repairs
  • Implementing and promoting equality and diversity policy
  • Reviewing and update health and safety policies and ensure observance
  • Ensuring that data protection laws are being adhered to in relation to the storage of data, and review and update policies
  • Maintaining professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; benchmarking state-of the-art practices; participating in professional societies.
  • Manage social media.
Licensee/ Client Relationships
  • Recruitment / letting to new licensees
  • Promoting SPADE with key stakeholders
  • Maintenance and ensuring good relationships with our licensees / tenants
  • Identifying client needs and recommending appropriate supports for clients
Skills and Qualifications to be successful in this role
  • Excellent organisational and time-management skills
  • Analysis of MI and strong report writing skills
  • Knowledge of Microsoft Office Suite (Word, PowerPoint, Excel) and other commonly-used office packages
  • Good working knowledge and understanding of financial reports and accountancy procedures
  • Strong IT and system knowledge (not typing skills)
  • Ability to prioritise tasks and work under pressure
  • Good teamworking skills and the confidence to lead and motivate a team
  • Ability to manage your workload and supervise others concurrently
  • Excellent interpersonal, oral and written communication skills
  • Attention to detail
  • Flexibility and adaptability to changing workloads
  • A problem-solving approach to work
  • Project-management skills
  • A familiarity with legislation in the areas of employment, equality and diversity and data protection - this is useful, but not essential.
  • A knowledge/understanding of food businesses would be advantageous.
