Administrative Secretary
Overview:
Under minimum supervision, performs work related to the administrative and academic activities of the department.
Responsibilities:
This position will provide executive level administrative support to the Pediatric ENT Faculty located at Children’s Hospital of the King’s Daughters.
Will be responsible for the master scheduling for all Pediatric faculty members.
Answers telephones; takes clear and concise messages; daily filing, and other routine office tasks.
Provides administrative support to the EVMS Audiology Department including travel and dues reimbursement. Works directly with the Audiology Director to process yearly externships for incoming students each year.
Must be HIPAA Compliant and maintain confidential information.
Works closely with the Academic Manager to coordinate and carry out details related to the following: faculty activities and appointments; research projects and resulting presentations and/or publications by students, residents, and faculty; documentation and publication of academic material such as book chapters and journal publications.
Works closely with the Pediatric ENT Practice Manager and Pediatric ENT Office Supervisor to coordinate and manage Faculty Clinical and Academic Schedules.
Transcribes material pertaining to academics, administration, and /or occasional clinical correspondence.
Reviews faculty members' incoming mail. Responds to requests from hospitals and academic departments, both locally and nationally with regard to academic and administrative matters. Will check mail at River Pavilion site several times per week
Maintains and updates Faculty Curriculum Vitae. Distributes noteworthy Faculty achievement to appropriate Public Affairs office(s).
Must process Interlibrary Loan requests on a regular basis; may need to access Brickell Library resources at Lewis Hall
Utilizes institutional software (eVA) for procurement of supplies and reimbursements.
Processes, records, and reconciles travel arrangements/travel vouchers for faculty members.
If needed, may assist Academic division during Residency Review Committee (RRC) Site visits and other special projects related to Residency Program.
Works with Faculty and Academic Manager with Department sponsored events such as state/regional conferences and workshops.
Performs other duties as assigned.
Qualifications:
Experience working in an administrative position required, healthcare facility experience preferred. Computer experience in word processing, spreadsheets, graphics and database software is required. Medical application software experience preferred.
