Responsibilities:

  • Serve as the primary contact for our company, greeting and directing guests professionally.
  • Efficiently manage inbound phone calls, routing them to the appropriate parties.
  • Ensure the reception area remains clean and welcoming at all times.
  • Handle incoming mail and deliveries, sorting and distributing them properly.
  • Oversee the office logbook and issue visitor badges as necessary.
  • Offer broad administrative assistance, including filing, photocopying, and faxing.
  • Utilize Microsoft Office tools, particularly Word and Excel, to carry out administrative tasks.
  • Exercise discretion when dealing with confidential information.
  • Maintain a high level of organization and attention to detail in all tasks.
  • Proficiency in receptionist duties such as greeting and directing visitors, answering phone inquiries, and managing customer queries.
  • Prior experience in administrative assistance, including handling office tasks, maintaining records, and providing detail oriented assistance via phone, mail, and e-mail.
  • Ability to effectively handle answering inbound calls, including screening and forwarding incoming phone calls.
  • Proficiency in Microsoft Word, including creating and editing documents, formatting text, and using templates.
  • Knowledge of Microsoft Excel, including inputting data, creating spreadsheets, and using basic functions.
