We are offering a long-term contract employment opportunity for an Administrative Assistant in Oakland, California. The role involves working closely with a team in the Real Estate industry. The Administrative Assistant will be expected to manage customer inquiries, maintain accurate records, and ensure the smooth operation of office procedures.

Responsibilities:

  • Ensuring adherence to legal and tax withholding processes.
  • Quickly and efficiently addressing client requests for information or other relevant transaction services.
  • Coordinating schedules for key appointments, including open houses and final walkthroughs.
  • Overseeing the production of online marketing materials, brochures, and flyers for events to represent the team professionally.
  • Completing paperwork for all real estate transactions in a timely manner to facilitate quick deal closures.
  • Managing the production of all marketing materials and facilitating local events to foster connections with people in the local community.
  • Utilizing Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook) for various administrative tasks.
  • Handling inbound and outbound calls, maintaining a high level of customer service.
  • Conducting data entry tasks and maintaining customer records.
  • Scheduling appointments and managing team schedules. • Proficiency in Microsoft Office Suite including Word, Excel, PowerPoint, and Outlook
  • Experience in answering inbound calls and managing both inbound and outbound calls
  • Strong customer service skills and ability to handle customer queries effectively
  • Excellent data entry skills with attention to detail and accuracy
  • Ability to manage email correspondence professionally and efficiently
  • Experience in scheduling appointments and managing calendars
  • Strong organizational skills and ability to multitask
  • Good verbal and written communication skills
  • Ability to work independently and as part of a team
  • High level of integrity and discretion in handling confidential information.
