Job Purpose:

The Graduate Operations Specialist position is responsible for managing and optimizing the operations of graduate student application processes, and other recruitment tasks. This position involves overseeing the application process, ensuring data accuracy between multiple data systems, maintenance of the CRM system, supporting prospective students and collaborating with other staff to enhance the overall efficiency and effectiveness of the admissions process.

Essential Duties:

  • Oversee the processing of graduate applications, ensuring timely and accurate data entry
  • Support the CRM, maintaining the integrity and confidentiality of applicant information
  • Identify and implement process improvements to streamline admissions operations
  • Develop and update standard operating procedures to streamline admissions operations
  • Analyze application data to identify trends and areas for improvement
  • Collaborate with academic departments to ensure alignment on admissions criteria and processes
  • Manage the decision entry process and decision letter issuance for all graduate students; ensure critical data integrity and reconciliation between multiple systems
  • Verify all domestic and international application documents for authenticity and calculate international GPAs to a United States equivalency
  • Manage the gradadmissions@scranton.edu inbox and ensure all correspondence is issued in a timely fashion

Additional Skills Required:

  • Outstanding organizational skills
  • Computer literacy in Microsoft Word and Excel
  • Ability to interact and work with students, faculty, administrators
  • Must have a valid drivers license with no travel restrictions
  • Must be willing and able to regularly engage in recruitment travel
  • Excellent critical thinking skills
  • Capable to use discretionary judgment
  • Ability to focus on all areas of a project or task, no matter how small
  • Keen awareness of attention to detail
  • Work evenings/weekends
  • Strong interpersonal skills including the ability to communicate effectively (written and oral) with students, faculty, staff, good organizational skills
  • Ability to work in a fast-paced team environment
  • Must be goal oriented and possess high energy

Minimum Education Requirements:

  • Bachelors degree required

Preferred Education:

Minimum Job Experience Requirements:

  • Minimum of one (1) year experience in admissions operations, higher education administration or a related field
  • Experience with admissions software and database management systems

Preferred Qualifications:

  • Familiarity with relational databases including Banner and CRM systems (Slate preferred)
