SUMMARY:

Goldbelt Professional Services, LLC is seeking a Program Analyst (Administrative Assistant) to work within the the Office of the Director (OD) and various Branches within the Division of Bacterial Disease (DBD) at the Centers for Disease Control and Prevention (CDC).
This role requires proficiency in using Windows-based applications such as Microsoft Word, Excel, ADOBE, SharePoint, and Outlook, as well as CDC administrative systems, including TASNET, Concur, CAMS, and others. The position involves managing schedules, supporting meetings, coordinating travel, and performing routine office procedures.

This work will be performed at Centers for Disease Control and Prevention (CDC) Roybal Campus in Atlanta, GA. The CDC is the nation's premier health promotion, prevention, and preparedness agency. The Administrative Assistant will report to Goldbelt Professional Services leadership to ensure the execution of timely, high-quality deliverables for the client.

Responsibilities:

Essential Job Functions:

  • Calendar Management & Coordination:
  • Manage the calendar for the DBD Director, Deputy Director, and Associate Director of Program Management.
  • Respond to meeting invites and inquiries, reschedule meetings as necessary.
  • Ensure important events are properly noted and addressed.
  • Substantial coordination with staff across divisions and organizations.

Meeting Support:

  • Schedule and set up virtual, hybrid, and in-person meetings.
  • Manage meeting distribution lists and provide technological support.
  • Coordinate equipment setup for hybrid meetings.

Travel Coordination:

  • Serve as a travel preparer, ensuring compliance with HHS and CDC travel regulations.
  • Initiate travel requests using Concur for domestic and international trips.
  • Act as a proxy for international travel requests and maintain visibility on international trips.
  • Assist travelers with federal travel policies, authorization, and expense forms.
  • Monitor travel projections and provide updates on trip status (postponed, canceled, etc.).
  • Attend monthly Travel Preparer meetings with the CDC Travel Office.

Procurement & Supply Management:

  • Submit purchase orders via the Credit Card Purchasing System (CCPS) for approved DBD needs.
  • Assist with procurement and acquisition for office supplies, outbreak response materials, and more.
  • Coordinate restocking and distribution of office supplies, including shipping and mailing materials.

Staff and Visitor Processing:

  • Submit and process forms for staff and visitor access to CDC facilities.
  • Handle in-processing for new staff and visitors, including NCAMS registration.
  • Ensure completion of required training (e.g., Safety Survival Skills, Security Awareness).
  • Update security systems with Smart Card information as directed.

Facility & Equipment Support:

  • Initiate and track Integrated Facilities Management System (IFMS) requests for building and maintenance issues.
  • Assist with printer and IT service requests.

Conference & Event Management:

  • Monitor and track conference approval statuses.
  • Coordinate conference attendance lists and ensure consistency with travel projections.

Standard Operating Procedures (SOP) Management:

  • Work with program management staff on standardizing Standard Operating Procedures (SOPs).
  • Manage DBD SharePoint and Teams sites for document sharing and collaboration.

Mail Management:

  • Serve as the primary mail clerk for DBD OD staff, ensuring mail is sorted and distributed properly.

Qualifications:

Necessary Skills and Knowledge:

  • Experience liaising across teams with varying expertise and skill sets.
  • Demonstrates excellent written and verbal communication in interpersonal exchanges.
  • Strong command of Microsoft Office Applications (i.e., Word, PowerPoint, Excel, and Outlook).
  • Ability to demonstrate diplomacy and work professionally and collegially with a highly educated, scientific customer base that is under pressure and in the public eye every day.
  • Demonstrated ability to work well independently, be solution-oriented, motivated, and committed to customer and company success.
  • Ability to handle a variety of constituencies, manage multiple tasks simultaneously and thrive in a complex environment while balancing multiple competing priorities.
  • Excellent judgment and decision making, with strong analytical skills; business intuition and business acumen.
  • Able to collaborate with internal CDC partners.
  • Strong organizational and communication skills.
  • Ability to manage multiple tasks and prioritize effectively.
  • Familiarity with travel coordination, procurement, and office supply management.

Minimum Qualifications:

  • High School Diploma or GED
  • Minimum 7-10 years of increasingly responsible administrative experience.
  • Experience with CDC administrative systems (TASNET, Concur, CAMS) preferred.
  • Ability to obtain and maintain CDC Clearance.

Preferred Qualifications:

  • Bachelor's Degree preferred.
  • Prior experience working with the CDC is highly desired to understand the culture and environment.
