A company is seeking a friendly, organized, and reliable front desk receptionist to join their team. In this role, you will be responsible for greeting guests, managing both telephone and face-to-face interactions, scheduling appointments, and maintaining the reception area.

An exceptional ability to communicate and manage time efficiently is highly valued in this role.

Responsibilities:

  1. Greet and welcome guests as soon as they arrive at the office.
  2. Direct visitors to the appropriate person and office.
  3. Answer, screen, and forward incoming phone calls and provide basic information when needed.
  4. Ensure the reception area is tidy and presentable, with all necessary stationery and material.
  5. Receive, sort, and distribute daily mail/deliveries.
  6. Update calendars and schedule meetings.
  7. Keep updated records of office expenses and costs.
  8. Carry out administrative duties such as filing, typing, copying, binding, scanning, etc.
  9. Organize travel arrangements for senior managers.
  10. Write letters and emails on behalf of other office staff.
  11. Maintain stock of office supplies and place orders when necessary.
  12. Assist with other duties as assigned.

Qualifications:

  1. Proven work experience as a Receptionist, Front Office Representative, or similar role.
  2. Proficient in Microsoft Office Suite and knowledge of office management systems and procedures.
  3. Professional attitude and appearance.
  4. Solid verbal communication skills.
  5. Ability to multitask, prioritize, and manage time effectively.
  6. High school degree required; additional certification in Office Management is a plus.
