Responsibilities:

JOB SUMMARY

The Procurement Manager’s key objective is to organize and manage F&B purchasing, receiving, invoice reconciliation and requisitions in such a manner that it directly lowers and maintains lower operating costs for the unit. In addition, they will regularly update and maintain vendor contact lists, product guides, inventory database, and fulfill requisitions in appropriate timely manner.

The position will also issue and reconcile all purchase orders, ensuring compliance in the proper Purchasing Standard Operating Procedures. The Procurement Manager will also be the key point of contact and maintenance of the Birchstreet purchasing procurement item database and vendor database.

CORE RESPONSIBILITIES

Primary areas of responsibility include, but are not limited to the following:

  • Establish and maintain specifications and pricing for products and services which includes developing and improving SOPs and best practices
  • Establish inventory stock levels, lead times, and reorder amounts for all supplies while monitoring purchasing performance.
  • Overseeing procurement team mentoring, training, development and growth/improvement to meet any expected objectives and goals.
  • Ensure procurement strategies align with the company's financial goals and are consistent with brand standards and operational guidelines and aligning purchases with company approved partnerships
  • Work closely with hotel leadership team in various disciplines as well as the field on procurement related initiatives with a focus on meeting the Kessler Collection’s sustainability goals
  • Manage the establishment of new and existing vendor database and contact information.
  • Coordinate and maintain the Birchstreet database.
  • Develop, communicate and manage procurement strategies to significantly improve product delivery and quality while reducing supply risk and maximizing purchasing power
  • Manages the budgetary cost reduction programs and initiatives that facilitate Department heads achieving their business unit goals and financial targets
  • Supports the talent development of departmental team members
  • Work with vendors to utilizing purchasing power and cost saving purchasing deals, working with other department heads on their needs and par levels.

  • Ability to successfully manage high paced, high workload environment.
  • Knowledge of food and beverage items
  • Knowledge of how requisitions work and reconciliation of requisitions
  • Knowledge of balancing invoices against PO and ensuring proper entry of invoice into AP Systems
  • Must be able to multitask and manage multiple people remotely across the property.

  • Knowledge of food and beverage receiving SOP and ability to judge food products quality quickly and accurately
  • Ability to prioritize and organize work assignments
  • Ability to work well in stressful, high-pressure situations
  • Ability to work with and understand financial information, data and basic arithmetic functions
  • Ability to work for extended periods of time in a refrigerated / freezer environment.
  • Strong written, verbal, computer and interpersonal skills.
  • Ability to manage vendor and vendor relations
  • Comprehensive knowledge of food and beverage operations
  • Comprehensive knowledge of Procurement procedures and policies
  • Basic Knowledge of Wine and Liquor for purchasing and receiving related tasks
  • Regular, predictable, full attendance.

MINIMUM QUALIFICATIONS

Education, License, Certifications, Experience
  • Bachelor’s degree in Business or related training equivalent – strongly preferred
  • 5+ years of relevant work experience in similar scope and title – required
  • Experience within luxury brand/markets – strongly preferred
  • Experience with Purchasing Programs – required
  • Valid Driver’s license and insurance – required

WORK ENVIRONMENT

The work environment/conditions described herein are representative of those that an incumbent may experience.
  • Must be comfortable working in a shared space, with constant noise, without the use of a private office.
  • Must be able to cope with frequent changing priorities and deadlines with a high degree of optimism, professionalism & collaboration.
  • Schedules may vary from week to week based on business demands in excess of 50 hours with or without notice.
  • Must be comfortable with walking long distances and being on your feet for extended periods of time
