We are in search of an Executive Assistant to join our team located in Portland, Oregon. This with a local government organization. As an Executive Assistant, your key responsibility would be handling a variety of administrative tasks, ensuring efficient communication, and maintaining a structured calendar.
Responsibilities- Efficiently manage communication and correspondence, ensuring all information is relayed promptly and accurately.
- Utilize Cisco Webex Meetings for organizing tasks for the general manager.
- Manage and maintain an organized calendar, scheduling meetings and appointments as necessary.
- Handle project management tasks, ensuring all projects are completed within the stipulated time.
- Coordinate and plan events, ensuring all details are taken care of and the event runs smoothly.
- Exhibit emotional intelligence in handling interactions and negotiations with various stakeholders.
- Adapt easily to changing circumstances and make data-driven decisions to benefit the organization.
- Proficiency in Cisco Webex Meetings would be a plus but not required.
- Demonstrated experience as an Executive Assistant
- Strong calendar management skills to organize and schedule appointments.
- Excellent communication skills, both written and verbal, are essential for effective correspondence.
- Ability to organize conference calls, including scheduling and facilitation.
- Experience in managing correspondence, including drafting letters and emails.
- Proven project management skills, including planning, execution, and tracking.
- Excellent time management skills to meet deadlines and prioritize tasks effectively.
- Ability to perform data analysis to inform decision-making processes.
- Experience in event planning, including logistics, budgeting, and coordination.
- High level of emotional intelligence to understand and respond to the emotional needs of others.
- Easily adaptable to changing circumstances and able to handle multiple tasks simultaneously.
- Strong negotiation skills to effectively handle contracts and agreements.
- Experience in data-driven decision making to optimize business operations.
