We are offering a long-term contract employment opportunity for a Receptionist in Westwood. The selected individual will be an integral part of our team, handling a variety of tasks ranging from managing the multi-line phone system to maintaining customer service standards.

This role is crucial in maintaining a smooth flow of operations within our office environment. There are roughly 180 employees and three floors. This is an entry-level role that requires you to be onsite daily. Hours are 9-6.

Responsibilities:

  • Manage the multi-line phone system, ensuring that all incoming calls are answered promptly and directed to the appropriate personnel
  • Provide excellent customer service, addressing inquiries and resolving issues in a professional and timely manner
  • Accurately perform data entry tasks, ensuring all customer information is up-to-date and correctly entered into our system
  • Handle email correspondence, responding to emails and forwarding them to the correct department when necessary
  • Utilize Microsoft Excel, Outlook, and Word to manage, organize, and schedule appointments and meetings
  • Maintain an organized filing system, ensuring all files are properly stored and easily accessible
  • Leverage interpersonal skills to build strong relationships with customers and team members
  • Ensure all appointments are scheduled accurately and efficiently, minimizing scheduling conflicts and maximizing productivity
  • Proficiency in answering multi-line phone systems.
  • Demonstrated customer service skills, with a focus on providing exceptional service.
  • Experience in data entry, with an emphasis on accuracy and detail.
  • Ability to manage Email correspondence professionally and effectively.
  • Strong interpersonal skills, with the ability to communicate effectively and build relationships.
  • Proficiency in Microsoft Excel, with the ability to perform complex functions.
  • Experience using Microsoft Outlook for scheduling, email management, and task organization.
  • Proficiency in Microsoft Word, with the ability to create and edit professional documents.
  • Experience in organizing files, with a focus on maintaining an efficient and orderly system.
  • Demonstrated ability to schedule appointments, managing multiple calendars as necessary.
