We are offering a long-term contract employment opportunity for an Executive Assistant based in GREENVALE, New York. Serving as a pivotal role in our team, you will be tasked with providing top-tier administrative support to senior executives, ensuring efficient operations across various aspects of the business.
Responsibilities:- Coordinating executive calendars, including scheduling meetings, appointments, and managing travel arrangements.
- Prioritizing meeting requests to maximize executive time management.
- Preparing for meetings by organizing necessary materials such as presentations, reports, and agendas.
- Recording minutes during meetings and ensuring follow-up on action items.
- Managing domestic and international travel arrangements including flights, accommodations, and itineraries.
- Handling expense reports and managing reimbursements.
- Serving as the first point of contact for executives, managing communication with internal and external stakeholders.
- Screening and prioritizing emails, calls, and correspondence, and ensuring timely responses.
- Drafting, editing, and proofreading documents, presentations, and reports for executive review.
- Maintaining confidential records, files, and contracts.
- Assisting in the planning and execution of special projects and events as directed by the executive team.
- Monitoring project timelines and providing regular updates to executives on progress.
- Overseeing office supplies and ensuring that office equipment is properly maintained.
- Financial Services, Cisco Webex Meetings, Concur, CRM, Kronos Timekeeping System, About Time, Calendar Management, Communication, Conference Calls, Correspondence, and Administrative Assistance.
- Proficiency in ADP

- Proficient in using Cisco Webex Meetings for virtual meetings and online events
- Experience in using Concur for travel and expense management
- Proficiency in CRM for managing company's relationships and interactions with potential and existing customers
- Knowledge of Kronos Timekeeping System for workforce management
- Experience with About Time for mobile time tracking
- Strong skills in Calendar Management to manage and coordinate schedules
- Excellent Communication skills for clear and concise communication with various stakeholders
- Ability to manage Conference Calls to ensure smooth and effective communication
- Proficiency in handling Correspondence including emails, letters, packages, etc.
- Prior experience in providing Administrative Assistance to ensure efficient operation of the office.
