Overview:
The Department of Astrophysical Sciences seeks a highly motivated and organized individual to serve as the department Administrative Assistant. This role is instrumental in supporting the department’s academic and co-curricular initiatives, visitors, and office management efforts.The position reports to the Academic Program Administrator and works closely with students and staff to ensure a productive work environment.
It is a part-time position; estimated five hours of work each day with one optional remote day. For full consideration, candidates should submit a cover letter and resume with their application.
Responsibilities:
- Execute tasks supporting the departmental undergraduate and graduate programs:
- Assist with course and classroom scheduling, student grading and other tasks in Peoplesoft.
- Order textbooks and other instructional supplies.
- Help to coordinate the summer undergraduate research program.
- Set up student employment either through JobX or SAFE.
- Provide assistance with non-Princeton and visiting students' logistics.
- Work with faculty in the production of student reference letters.
- Perform other tasks as assigned by the Academic Program Administrator.
- The position may be asked to provide back up support to the events coordinator for student events as needed.
- Providing office support:
- Serve as key informational point of contact for the department.
- Provide departmental telephone coordination.
- Coordinate facilities work orders and general equipment maintenance.
- Prepare outgoing and manages incoming mail.
- Set up daily departmental coffee hour and organizes supplies.
- Coordinate logistics for guest visits including managing the two visitor apartments.
- Schedule all Department meetings on the department webpage.
- Perform other tasks as assigned by department business manager.
- Providing facilities management:
- Inventory and purchases general office supplies and manages a department credit card.
- Oversees general department leases such as water coolers and photocopiers.
- In coordination with custodial staff, ensures that public spaces in Peyton Hall are clean and presentable.
Qualifications:
Required- High School Diploma or GED
- 3+ years work experience
- General office experience
- Familiar with Microsoft Office applications
- Strong general math skills
- Strong interpersonal skills
- Proof reading skills and strong knowledge of the English language
- Must be able to prioritize and follow through on tasks in an active work environment
- Experience in an academic setting especially in research and the sciences or a background in higher education administration.
- Experience with Peoplesoft, EMS (event management system), and Concur
- Basic knowledge of Drupal.
