Executive Assistant
PURPOSE OF THE JOB:
The Executive Assistant’s primary responsibility is to provide ministry support to the Lead Pastor at our Brookside Campus. This role is critical in managing communication, scheduling, and supporting strategic initiatives. This is a full-time, hourly position with weekend requirements.The workweek will run from Sunday through Thursday.
ESSENTIAL DUTIES:
- Assist the Lead Pastor in managing communication, particularly email and phone calls.
- Plan and manage the Lead Pastor’s schedule, appointments, and travel.
- Ensure the Lead Pastor is prepared and on time for daily meetings.
- Maintain an organized, professional office space for both the Executive Assistant and the Lead Pastor.
- Assist with content creation, including proofreading materials for talks and projects.
- Collaborate with Production and Communications teams to develop and execute deliverables.
- Plan and assist with special projects, such as baptisms, weddings, funerals, and other events.
- Help with research for messages, projects, and communication as needed.
- Manage purchasing needs, including teaching materials, office supplies, food for events, and complete expense reports.
- Plan and execute ministry gatherings, retreats, and small events.
- Develop and implement systems and processes to manage day-to-day operations of the campus.
- Be the first to arrive on Sunday mornings to open and create a welcoming atmosphere for the congregation.
- Liaise with breakfast, transportation, and other serving teams to ensure smooth Sunday operations.
- Assist with pastoral care, connect cards, maintain the Rock database, and follow up with first-time visitors.
- Recruit and train congregants and volunteers for churchwide serving teams.
- Create and maintain teaching and preaching schedules for Sunday mornings, Tuesday Night Bible Study, and others as needed.
- Perform other duties as assigned.
Supervisory Responsibilities:
This position works with volunteers and must have an understanding that volunteers are key to the ministry of the church. The employee must have a heart to recruit, train, equip and support volunteers in fulfilling their roles.
MINIMUM QUALIFICATIONS:
Bachelor's degree and five years of related experience, or an equivalent combination of education and experience. Relevant experience includes working as an Executive Assistant or in a Management Support role.
Must demonstrate emotional capacity for inner-city ministry, along with cultural competence in a multi-ethnic, socio-economically diverse congregation. Experience in urban ministry is preferred.
