Outbound Shipping and Front Office Coordinator

Essential Duties and Responsibilities:

The Outbound Shipping and Front Office Coordinator is responsible for coordinating outbound shipments, ensuring accuracy and proper loading. Primary responsibilities include seamless handling of all incoming and outgoing materials and managing the reception area.

  • Coordinate with carriers and logistics providers to schedule pickups and deliveries.
  • Check and verify the accuracy of outgoing shipments against shipping orders and packing lists.
  • Collaborate with the warehouse team members to gather and organize finished goods for shipment.
  • Conduct final checks to confirm that the correct products and quantities are loaded onto each truck.
  • Perform visual inspections of inbound and outbound shipments to identify any damaged or non-conforming products.
  • Provide drivers with necessary documentation and assist with the completion of shipping paperwork.
  • Assist with tracking of real-time finished goods inventory and providing cycle and month-end counts.
  • Manage the reception area, maintaining an area that is clean and organized.
  • Keep track of inventory and place orders for office and other general supplies as needed.
  • Address incoming solicitations and inquiries, screen and direct individuals to the appropriate contacts.
  • Maintain open lines of communication with key team members in warehouse, order processing, logistics, and scheduling departments.
  • Other tasks in accordance with business needs.

Qualifications:

  • 3+ years of experience in an office environment
  • Bilingual proficiency in English and Spanish preferred
  • Previous experience with shipping/receiving strongly preferred
  • Ability to take initiative and work autonomously while staying flexible
  • Strong planning, organization and time management abilities, along with excellent interpersonal skills
  • Proven organizational skills with strong attention to detail
  • Proficient in Microsoft Office programs (primarily Microsoft Word and Excel) with the ability to learn new software
