Are you passionate about creating unforgettable experiences? We're looking for a talented Event Specialist to be the creative force behind Charles IT's dynamic event program. With at least 3-5 years of experience under your belt, you'll use your exceptional project and vendor management skills to orchestrate everything from trade shows to employee celebrations.
Working closely with our marketing team, you'll bring events to life through engaging promotional materials and branded merchandise while juggling multiple priorities and deadlines. Your knack for building relationships, negotiating with vendors, and keeping complex events running smoothly makes you the perfect fit for our collaborative team.

Some evening/weekend work and travel required for our most exciting events. Join us in creating memorable moments that strengthen our company culture and client relationships!

Responsibilities:

  • Assist the Marketing Manager by managing and planning all events indicated on the annual event calendar.
  • Events will be activity-based and open to employees, clients, prospects, and community partners
  • Managing associated event budgets and updating with actual spends
  • Owning organization of trade show and career fair booths
  • Managing the year-end holiday gift basket orders and cards
  • Planning holiday-themed contests, including but not limited to Halloween Costume Contest, Ugly Sweater Contest, Holiday Desk Decorating Contest, Hot Ones Wings Contest
  • Coordinating with People Operations Team on Professional Development Days
  • Assisting Marketing Manager with company swag orders.
  • Planning and managing all quarterly outings
  • Planning and managing the annual EPIC outing
  • Updating event calendar with association events (including those attended by Biz Dev only)
  • Updating information for Charles IT events as needed
  • Ensuring all events have assigned Charles IT attendees
Requirements
  • BA/BS degree in Marketing/Meeting and Event Management/Communications or equivalent combination of education and work experience
  • 3-5 years of events experience preferred
  • Passion for events and creating exceptional experiences for attendees.
  • Excellent communicator and creative thinker, with an ability to use data to inform all decisions.
  • Must be willing to proactively engage outside the organization to promote the company brand, including representing the organization to audiences of potential customers, potential employees, or potential agents of influence.
  • Must have strong writing skills.
  • Must be comfortable working in Excel.
  • Must have exceptional presentation and public speaking skills.
  • Experience in a B2B environment is strongly preferred.
  • Proven ability to oversee multiple projects at a time and take initiative.
  • Strong customer service and people skills.
  • Exceptional attention to detail.
  • Weekday regular business hours, some after-hours, and occasional weekend work may be required for deadlines, tradeshows, and events.
  • Occasional travel should be expected (Trade Shows and events).
