We are seeking a Temporary Medical Administrator to join our team located in New York, New York. This role is centered around the management of staff schedules, patient appointment scheduling, and the overall smooth operation of the electronic medical records system.

This opportunity offers short term contract employment and requires a variety of skills including patient scheduling, electronic medical records management, and proficiency in the Microsoft Office Suite and Google Suite.

Responsibilities:

  • Oversee administrative staff schedules and manage time-off requests.
  • Coordinate patient appointment scheduling and adjust staff schedules to meet service demands.
  • Manage and troubleshoot the Electronic Medical Records (EMR) system to ensure smooth operations.
  • Collaborate with the Outreach Coordinator to coordinate outreach events and assist with the ordering of supplies and promotional materials.
  • Improve patient communication and flow by overseeing front desk operations in collaboration with administrative staff.
  • Coordinate insurance referrals for student mental health coverage.
  • Maintain professional credentialing records and ensure compliance with accreditation standards.
  • Act as the first point of contact for student or parent concerns, consulting clinicians or the Clinical Director when needed.
  • Serve as a liaison to various campus offices on relevant issues.
  • Manage office supplies, facility maintenance, and coordinate with Facilities on physical repairs.
  • Support the Director in emergency preparedness and outreach activities.
  • Liaise with the IT department to maintain staff computers and technical equipment.
  • Oversee the implementation and maintenance of telehealth or hybrid service platforms as needed.
  • Manage the operating budget and handle financial tasks such as check requests, purchase orders, petty cash, and staff reimbursements.
  • Oversee student scholarship Wellness Funds, coordinate provider copays, maintain records, and produce utilization reports.
  • Assist the Clinical Director in preparing and reconciling the annual budget and create monthly and annual financial reports.
  • Manage departmental credit card purchases and vendor/consultant documents.
  • Must have a minimum of 3 years of experience in a medical administration role
  • Proficiency in ADP - Financial Services, Allscripts, Cerner Technologies, and other relevant computer programs
  • Knowledge and experience with EHR SYSTEM and EMR (Electronic Medical Records)
  • Experience in answering inbound calls, patient scheduling, and billing functions
  • Familiarity with claim administration and clinical trial operations
  • Ability to manage charts and graphs effectively
  • Proficiency in Microsoft Office Suites and Google Suite
  • Excellent communication and interpersonal skills
  • Strong organizational and multitasking abilities
  • Attention to detail and problem-solving skills
  • Ability to work independently and within a team
  • Must have a professional and ethical approach to handling confidential patient information.
