[ref. p14543621] Clinic Operations Specialist - Centralized Templating
Overview:
The Clinic Operations Specialist - Centralized Templating is responsible for the creation and maintenance of provider appointment templates at LifeLong Medical Care. They will utilize reports and dashboards to ensure adherence to LifeLong’s protocols.This position works in close collaboration with clinical and operational leadership to ensure consistent and efficient templating for all LifeLong providers while maintaining patient visit goals.
This is a full time, temporary position for approximately six months, with the possibility of transitioning to a permanent role.

Responsibilities:
- Responsible for creating, monitoring, and adjusting provider schedule templates following the LifeLong Provider Template Protocol.
- Collaborate closely with operational and clinical leadership to ensure schedules are accurate, consistent and support patient visit goals for each provider.
- Respond to last-minute schedule adjustment needs for callouts, meetings, etc.
- Understand different provider services offered and corresponding workflows for existing and new services.
- Build relationships with site leadership and staff to build trust effective collaboration.
- Assess templates using reporting tools and dashboards to ensure adherence to protocols, adjusting as needed.
- Document template assessments, schedule changes and approved exceptions
- Continually provide feedback and regularly report issues as needed.
- Complete other administrative tasks as assigned by Health Center Operations Manager.
Qualifications:
- Detail oriented with strong organizational, administrative, and problem-solving skills.
- Be flexible with a “can do”, proactive attitude and an ability to continuously “scan” the environment, identifying and taking advantage of opportunities for improvement.
- Ability to prioritize tasks and complete assignments in a timely manner.
- Ability to effectively present information to others.
- Ability to work independently and comfortable asking for help and support.
- Excellent interpersonal skills and ability to effectively work with people from diverse backgrounds and be culturally sensitive.
- Comfortable with numbers and performing basic math calculations.
- High school Diploma or GED
- One year experience in the healthcare field
- Excellent customer service and ability to maintain confidentiality, adhering to HIPPA laws.
- Proficient in the use of: Microsoft Office Suite (including Word and Excel)
- Prior experience in provider template building, schedule coordinating or similar.
- Prior EPIC EHR experience
- BA in Health Sciences or related field
- Experience working in community healthcare setting.
- Familiarity navigating reporting tools (i.e. Tableau)
