We are in search of an Executive Assistant to join our team based in the Milford, Massachusetts area. This role plays a crucial part in maintaining the smooth operation of our executive offices by providing administrative support to key figures, including the CEO, CFO, and Executive Board Members.

As an Executive Assistant, you will handle a range of tasks that can be highly sensitive and confidential, requiring a high degree of efficiency, integrity, and discretion.

Responsibilities:

  • Prepare, edit, and handle correspondence, communications, presentations, and other documents.
  • Organize and maintain files and records, ensuring they remain updated and easily accessible.
  • Securely manage all executive documents and communications.
  • Plan, organize, and facilitate Executive Committee & Board meetings, including preparing agendas, taking minutes, and following up on action items.
  • Maintain accurate and detailed records of board-related meeting discussions and decisions.
  • Coordinate the preparation and distribution of the board packet for monthly meetings.
  • Manage logistics for board meetings, including venue arrangements, catering, and AV setup.
  • Take and update meeting minutes for weekly manager meetings and other office meetings.
  • Draft and distribute communications on behalf of the CEO, CFO, and executive board members.
  • Assist in the planning and execution of special projects and initiatives led by the executive team.
  • Track progress and ensure timely completion of tasks and deliverables.

  • Minimum of 5 years of experience in a similar executive assistant role.
  • Proficient in Data Entry.
  • Advanced knowledge of Microsoft Excel.
  • Experience with Oracle software is a must.
  • Demonstrated experience in Board reporting.
  • Ability to coordinate, organize and manage executive and leadership meetings.
  • Proven skills in maintaining and managing calendars.
  • Experience in providing administrative assistance and back office support.
  • Knowledge of basic office equipment and skills.
  • Familiarity with corporate office environments.
  • Proficiency in Microsoft Office Suites and MS Office 365.
  • Prior experience in office administration is required.
