Hotel Polaris is seeking an exceptional Sales Coordinator to join our team and play a vital role in shaping the success of Hotel Polaris, an instant icon on the hospitality landscape of Colorado Springs.

Responsibilities:

  • Liaison for all group and transient business contacts including prompt communication via email and phone, gathering all group details at the inquiry level such as; organizations information, guest room requirements, meeting space needs, and distribute the business to the appropriate sales manager.
  • Support customer sit tours by making hotel reservations, fulfilling amenity requests, making spa appointments, restaurant reservations, simulator reservations, and communicating to all operating departments the site tour schedule and needs.
  • Create memorable experiences with a warm, welcoming personality that can relate to guests and team members.
  • Utilize the freedom to go beyond to take initiative to resolve guest complaints and create loyalty.
  • Share your personal passions and knowledge of the services and amenities available to guests to help them feel at home.
  • Collaborate with team members to communicate what you see and hear to staff and management to ensure the guests’ needs are being met.
  • Promptly answer telephones and enthusiastically greet our guests with your personal spirit, however busy and whatever time of day.
  • Assist sales managers in the coordination of tradeshows, customer events, and sales travel needs.
  • Identify new contacts, develop sales leads, respond to sales opportunities, and contact potential clients to build and nurture lasting business relationships.
  • Produce quotes and written confirmation to all clients.
  • Produce accurate and timely reports that meet the needs of the Sales Director and senior management to include the reporting of appointments, calls made, and business leads.
  • Assist in the processing of Sales & Marketing related invoices.
  • Fulfill the redemption of gift certificates as well produce gift certificates as needed.

Qualifications:

  • High school diploma or GED required; college degree preferred.
  • Experience at a comparable AAA Four Diamond/Four Star hotel and/or resort is highly desired.
  • Ability to multi-task, prioritize, and organize work assignments and special projects.
  • Previous experience passionately providing service to others and providing administrative support in a team-oriented environment.
  • Providing amazing experiences requires the ability to communicate fluently in English both verbally and through excellent written communication.
  • Ensuring accuracy and attention to detail.
  • Lift, push, and pull up to 25 lbs. and stand, walk, or sit for 6-8 hours per day.
