We are offering a long-term contract employment opportunity in San Marcos, California for a Sr. Administrative Assistant. This role serves as a central figure in the organization, ensuring smooth operations by managing website backend, overseeing shipping processes, and handling various administrative tasks.
You will be working in a fast-paced environment, contributing significantly to the company's overall efficiency.
Responsibilities:
- Oversee the backend management of the website, including tracking shipments.
- Handle shipping processes, including labeling, coordinating with UPS, and following up on shipments.
- Contribute to monthly accounting tasks such as tracking orders, preparing expense reports, and utilizing SharePoint and Excel.
- Support budgeting processes on a monthly basis and perform data entry for an external accountant.
- Update technical specification sheets using Word.
- Manage the invoice log and track purchasing activities.
- Create and complete expense reports using Excel.
- Assist with business processes and special projects as needed.
- Handle international and small items shipping, ensuring all documentation is correctly prepared.
- Use CRM and other tools for efficient order management and calendar management. • Proficiency in CRM systems to manage client relationships and interactions
- Familiarity with About Time software for efficient time tracking and project management
- Understanding of budget processes to assist with financial planning and control
- Expertise in calendar management to coordinate meetings, appointments, and deadlines
- Exceptional communication skills for clear and effective correspondence with team members and clients
- Experience in handling conference calls to facilitate remote meetings and discussions
- Proficiency in Microsoft Excel for data analysis and report creation
- Proficiency in order management to ensure efficient processing and delivery of orders
- Experience with ordering office supplies to maintain adequate inventory levels
- Knowledge of UPS shipping procedures for domestic and international deliveries
- Familiarity with international shipping rules and regulations to facilitate global transactions
- Knowledge of shipping documentation requirements to ensure legal and regulatory compliance
- Experience in mail distribution to ensure timely and accurate delivery of correspondence.
