The Office Manager will play a pivotal role in ensuring smooth day-to-day operations while handling a variety of tasks that support both client relations and internal office management. This individual will coordinate client meetings, manage office functions, assist with financial reporting, and serve as the primary point of contact between the company, clients, and stakeholders.

They will also manage event coordination, attend investor meetings, and perform administrative duties, ensuring the highest level of client satisfaction.

  • Proven experience in office management, administrative roles, or similar positions within a financial or professional services firm.
  • strong organizational and multitasking abilities, with a keen eye for detail.
  • Excellent communication and interpersonal skills to build strong relationships with clients, staff, and stakeholders.
  • Proficient in Microsoft Office Suite (Excel, Word, PowerPoint) and comfortable with financial software systems.
  • Ability to handle sensitive and confidential information with professionalism and discretion.
  • Bachelor’s degree in business administration, finance, or a related field is preferred but not required.

salary: $52,000 - $62,000 per year

work hours: 8 AM - 5 PM

Responsibilities
  • Client Relations: Act as the liaison between the firm, clients, and stakeholders, ensuring professional and timely communication.
  • Event Coordination: Plan and manage company events, including investor meetings, client appreciation events, and internal functions.
  • Financial Reporting: Assist with the preparation and review of financial reports, ensuring accuracy and timely submission.
  • Investor Meetings: Attend investor and client meetings as needed, taking detailed notes, and facilitating follow-up actions.
  • Office Administration: Handle daily office operations, including answering phones, managing emails, scheduling appointments, and maintaining office supplies.
  • Data Entry & Documentation: Accurately input financial and client data into systems, manage filing systems, and ensure all documentation is organized and up to date.
  • Liaison: Serve as the key point of contact between departments, clients, and external partners to facilitate clear communication and smooth workflow.
  • Additional Tasks: Perform other office management duties as needed to ensure the overall efficiency of the office.
