We are in search of an Administrative Assistant to join our team located in Philadelphia, Pennsylvania. As an Administrative Assistant the role is set within the museum industry, and the successful candidate will be responsible for supporting and assisting our Advancement team.

This role offers a long-term contract employment opportunity.

Responsibilities:

  • Generate acknowledgment letters and cards in support of the Advancement team.
  • Assist in preparing mass mailings for donor relations.
  • Regularly update and maintain donor contact lists.
  • Perform high volume data entry tasks in the Raiser's Edge database.
  • Maintain accurate database records to ensure data accuracy.
  • Liaise with several internal departments for data accuracy and efficiency.
  • Assist with additional administrative tasks and projects as necessary.
  • Uphold the confidentiality of sensitive information.
  • Schedule appointments and manage email correspondence.
  • Answer inbound and outbound calls, providing excellent customer service.
  • Minimum of 1+ years of experience as an Administrative Assistant or similar role
  • Proven ability to manage and prioritize tasks efficiently
  • Excellent customer service skills
  • Experience in handling both inbound and outbound calls
  • Proficient in data entry tasks
  • Strong email correspondence skills
  • Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint
  • Ability to schedule appointments and manage calendars
  • Strong verbal and written communication skills
  • Excellent organizational and time-management skills
  • Ability to work independently and as part of a team
  • High attention to detail and problem-solving skills
  • High school diploma or equivalent; higher degree in a relevant discipline will be appreciated
