We are offering a contract for a permanent position as an Administrative Assistant in Amherst, Massachusetts. This role is pivotal within our team, focusing on managing and coordinating scholarships, providing advising to students, and collaborating with various departments.
As an Administrative Assistant, you will be working closely with the Donor Relations and Undergraduate Dean's Office, ensuring effective communication and processing of various tasks.
Responsibilities:- Collaborate with CNS Donor Relations to confirm award amounts and the number of awards per fund into the AcademicWorks system.
- Offer individual advising to students regarding available awards and application procedures, including hosting trainings and presentations.
- Coordinate with the Undergraduate Dean's Office and Departments for effective email messaging and outreach to students and parents on scholarship applications.
- Work in conjunction with CNS Donor Relations and Department Chairs/Heads to review available scholarships, their criteria, and timing.
- Assist departments in planning and organizing their review and selection process, including confirming committee members, ensuring FERPA certification, and receiving student award selections.
- Provide support to review committees during their review process.
- Receive recipient names and relevant information from departments and programs.
- Review all possible opportunities each cycle and confirm successful awarding of all available scholarships; collaborate with departments to award any outstanding scholarships.
- Process individual student awards in AcademicWorks, notifying students and prompting them to submit a thank you letter to the donor(s).
- Download fund disbursement reports and send them to departments for final approval.
- Identify and review renewals for processing.
- Finalize fund disbursement report(s) in AcademicWorks and submit to Financial Aid for final processing.
- Respond promptly and accurately to inquiries from the Office of Financial Aid regarding scholarship awards.
- Confirm with Financial Aid if any student has had a status change before the first day of classes each semester.
- Prepare the system for the annual archiving/cycle management process. • Proficient in answering inbound calls, demonstrating excellent verbal communication skills.
- Exceptional customer service skills, with a focus on resolving issues efficiently and courteously.
- Able to perform data entry tasks accurately and efficiently.
- Skilled in managing email correspondence, ensuring timely responses and detail oriented communication.
- Experience with both inbound and outbound calls, handling a high volume of calls daily.
- Proficient in Microsoft Excel, able to create spreadsheets, enter and analyze data.
- Skilled in using Microsoft Outlook for email management, scheduling, and task organization.
- Able to create detail oriented presentations using Microsoft PowerPoint.
- Proficient in Microsoft Word, able to create documents, reports, and letters.
- Experience with scheduling appointments, coordinating calendars, and managing time effectively.
