About the role:

We are seeking a detail-oriented and highly organized Global ERP Project Coordinator to join our team. This role will be responsible for providing comprehensive support to our global enterprise resource planning (ERP) project, ensuring effective coordination, communication, and documentation throughout the project's lifecycle.

The Global ERP Project Coordinator will play a critical role in facilitating project activities, managing project schedules and project tools such as Smartsheet and SharePoint, and supporting cross-functional teams to ensure project success.

  1. Project Coordination and Support:
  • Assist in developing project plans, timelines, and milestones for the global ERP implementation project, ensuring alignment with project objectives and deliverables.
  • Coordinate and support project meetings, including scheduling, agenda creation, and documentation of meeting minutes and action items.
  • Track and monitor project progress, identifying potential risks and issues, and proactively escalating them to the project manager.
  • Maintain project documentation, including project plans, project team leave registers, risk registers, issue logs,testing tools (Smartsheet) and other project-related artifacts.
  1. Stakeholder Communication and Engagement:
  • Coordinate communication to all project team members and related activities to ensure all team members are aligned and sharing information, updates and deliverables as required.
  • Support effective communication with project stakeholders, ensuring timely dissemination of project information, updates, and deliverables.
  • Coordinate regular project status updates and reporting to executive stakeholders, providing clear and concise updates on project milestones, risks, and issues.
  • Manage project communication channels, including the project collaboration tools, email distribution lists, and project documentation repositories.
  1. Cross-functional Team Coordination:
  • Facilitate effective coordination and communication among cross-functional project teams, ensuring alignment and collaboration on project activities.
  • Schedule and organize team meetings, workshops, and training sessions, providing administrative support and ensuring meeting materials are prepared and distributed.
  • Assist in tracking team deliverables, deadlines, and dependencies, ensuring timely and coordinated execution across teams.
  1. Project Documentation and Reporting:
  • Support the creation and maintenance of project documentation, including project, charters, project plans, project status updates, project templates, requirements documents, and user manuals.
  • Assist in the preparation of project reports, dashboards, status updates and presentations to provide project updates and progress to stakeholders.
  • Compile and analyze project data to identify trends, patterns, and insights that will support project decision[1]making and continuous improvement.
  1. Change Management Support:
  • Assist the Change Manager and Training Lead as required in coordinating change management activities, including change impact assessments, user adoption strategies, training plans, and communication plans.
  • Support the distribution of user documentation and training materials to ensure smooth transition and user readiness for the new ERP system.
  1. Issue and Risk Management:
  • Assist in capturing, tracking, and managing project risks, issues and decisions, ensuring they are appropriately documented, escalated, and resolved.
  • Provide support in conducting root cause analysis and identifying corrective and preventive actions for project issues and risks.
  • Assist in developing and maintaining a risk mitigation plan, monitoring progress, and reporting on risk mitigation efforts.Smartsheet Administration
  1. Smartsheet Administration
  • - Maintain the project RAID log in Smartsheet. Create and update RAID dashboards for weekly project review meetings.
  • Setup and maintain Test Hub in Smartsheet for various test cycles like UAT.

o Add/Update Test Cases.

o Add/update Testers.

o Create Dashboards to monitor test cycle progress.

Qualifications:

Required Qualifications:

  • Highly beneficial for candidate to have a Bachelor's or Master's degree in Business Administration, Project Management, Information Technology, or related equivalent experience.
  • Proven experience as a project coordinator or similar role, preferably within ERP implementation projects or IT projects.
  • Strong organizational and time management skills, with the ability to prioritize tasks and work on multiple projects simultaneously.
  • Excellent communication and interpersonal skills, with the ability to effectively liaise between technical and non[1]technical stakeholders.
  • Proficiency in project management software and tools, such as Smartsheet and SharePoint or similar applications.
  • Strong analytical and problem-solving skills, with the ability to analyze project data and provide insights and recommendations.
  • Attention to detail and accuracy in documentation and project reporting.
  • Collaborative and team-oriented mindset, with the ability to work effectively in cross-functional and global teams.
  • Knowledge of ERP systems and concepts is a plus.
  • Project management certification (PMP, PRINCE2, etc.) is advantageous.
