Our Sweetwater, TN facility is a critical hub in our national fulfillment network. As we continue to experience exciting growth, we’re seeking a reliable and professional Front Desk Coordinator to be the welcoming face of our Sweetwater facility.This position is essential for providing a safe, organized, and positive experience for everyone who enters our facility, from team members to clients and visitors.
Overview:
The Front Desk Coordinator will oversee visitor and vehicle entry, manage security protocols, and perform key administrative duties to support the operations of our Sweetwater facility. Reporting to the Director of Safety, this role requires someone highly organized, courteous, and professional who is comfortable handling multiple responsibilities with accuracy and attention to detail.
Responsibilities:
- Gate Access and Visitor Management: Using MS Teams to monitor and grant vehicle access to the facility, verifying visitor information, and ensuring all authorized personnel have appropriate access.
- Visitor Check-In and Communication: Greeting visitors, guiding them to sign in, and notifying the appropriate team member of their arrival.
- Application Inquiries: Informing walk-in applicants on how to complete applications via our online “Careers” portal.
- NDA Collection and Document Handling: Ensuring that all visitors sign an NDA (as required), following proper naming conventions, and scanning/uploading documents per company protocols.
- General Administrative Duties: Providing administrative support, such as filing, organizing documentation, and performing additional tasks as assigned by the Director of Safety.
- End-of-Day Closeout: Ensuring the lobby and gate are secure, checking in with the Director of Safety before the end of shift, and reviewing visitor logs for accuracy.
Qualifications:
- Previous experience in a front desk, receptionist, or administrative role is preferred.
- Proficiency with MS Teams and general computer skills.
- Strong communication and interpersonal skills; a professional and courteous demeanor is essential.
- High attention to detail and ability to follow protocols for security and confidentiality.
- Ability to prioritize tasks and manage time effectively in a dynamic environment.
Schedule: Monday – Friday, 8:00 AM – 5:00 PM, with additional hours as required.
Peak Season Schedule: During peak season (Black Friday – mid- December), shifts will move to 10-hour days, and this role will follow the 10-hour shift schedule.
