We are in search of a Receptionist/Office Assistant to support our legal team in New York. This role calls for handling a variety of tasks including coordinating meetings, assisting visitors, maintaining office supplies and ensuring the cleanliness of office areas.
This position offers a long-term contract employment opportunity.
Responsibilities:
- Answering incoming calls and directing them to the appropriate personnel
- Coordinating and setting up Zoom meetings for staff members
- Assisting visitors with obtaining badges and guiding them as necessary
- Maintaining and ordering office supplies as well as pantry items
- Ensuring the kitchen area is clean and well-stocked
- Handling light furniture moves for various setups
- Reserving and preparing conference rooms for meetings
- Assisting in the coordination of catering for weekly office meetings and events
- Overseeing the inventory of office supplies and ensuring the office equipment is clean
- Utilizing accounting software systems, CRM, and other computer programs for various clerical duties.
- Applicant must possess a minimum of 2 years experience in a similar role within the legal industry.
- Demonstrated proficiency in Accounting Software Systems and ADP - Financial Services is essential.
- Experience in creating and managing Banner Ads is required.
- Proficiency in various Computer Programs is necessary.
- Familiarity with CRM systems is desirable.
- Prior experience with the software 'About Time' will be advantageous.
- Ability to answer and manage inbound calls professionally is a must.
- Experience in handling billing functions is crucial.
- Proficiency in various clerical duties including filing, scheduling, and correspondence is required.
- The candidate must be able to work in a fast-paced environment and manage multiple tasks efficiently.
