We are in need of a meticulous and coordinated Administrative Assistant to join our team in the Real Estate Property/Facilities Management industry located in San Francisco, California. As an Administrative Assistant, you will be integral in managing expense reports, addressing customer needs, and ensuring efficient data management.

Responsibilities:
  • Accurately process customer credit applications in a timely manner.
  • Maintain and update customer credit records regularly.
  • Handle customer inquiries and provide timely responses.
  • Monitor customer accounts and initiate appropriate action when necessary.
  • Answer inbound calls and provide exceptional customer service.
  • Perform data entry tasks with attention to detail.
  • Conduct email correspondence professionally and efficiently.
  • Schedule appointments as needed, ensuring smooth business operations.
  • Utilize Microsoft Office Suite (Excel, Outlook, PowerPoint, Word) to perform tasks effectively.
  • Manage and clean up expense reports using Concur.
  • Must know Concur for expense reporting
  • Demonstrated proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook
  • Proven experience in handling inbound and outbound calls in a professional manner
  • Strong customer service skills with a focus on delivering high-quality service to internal and external clients
  • Ability to manage and schedule appointments effectively, ensuring optimal use of time and resources
  • Exceptional data entry skills, with a focus on accuracy and speed
  • Previous experience in handling email correspondence, with a strong emphasis on professional written communication
  • Experience in preparing and managing expense reports and overseeing expense management processes
  • Ability to multitask and prioritize tasks in a fast-paced, dynamic environment
  • Strong organizational skills, with a keen eye for detail and the ability to maintain accurate records
  • Excellent problem-solving skills, with the ability to handle challenging situations promptly and effectively
  • Strong interpersonal skills, with the ability to work effectively both independently and as part of a team.
