Facilities Assistant

We are offering a short term contract employment opportunity for a Facilities Assistant in Parsippany, New Jersey. This role is primarily focused on the management and maintenance of our facilities, which includes communication with internal and external clients, vendor management, and ensuring site security.

• Oversee the Computerized Maintenance Management System (CMMS) and Purchase Order (PO) systems
• Facilitate communication with vendors and schedule necessary work
• Ensure compliance with fire safety procedures
• Handle all hard and soft services, including cleaning contracts, security, and mechanical/electrical/building maintenance
• Manage calls and log them into the CMMS and PO systems
• Maintain a call-out system for emergencies, security, and alarm-related incidents
• Ensure the site is secure at all times
• Communicate effectively with both internal and external clients

• Minimum of 2 years of experience in a similar role, preferably in the facilities management sector

• Proficient in using CMMS (Computerized Maintenance Management System)
• Experience with Concur, IBM AS/400, and Kronos Timekeeping System
• Knowledge of 'About Time' software is desirable
• Understanding of budget processes in a facilities management context
• Excellent communication skills, both verbal and written
• Ability to manage and schedule conference rooms efficiently
• Strong customer service skills, with the ability to handle queries and complaints in a detail oriented manner
