We are offering an exciting opportunity for a Receptionist in the Non-Profit industry, situated in Milwaukee, Wisconsin. As a Receptionist, you will be the first point of contact for our organization. Your duties will include offering administrative support across the organization.

You will welcome guests and greet people who visit the organization. You will also coordinate front-desk activities, including answering and routing inbound phone calls.

Responsibilities:
  • Serve as the initial contact and representation of the organization, ensuring visitors and clients feel welcomed and their needs are attended to.
  • Manage and maintain accurate customer records and process customer credit applications.
  • Oversee the organization's lobby area, ensuring it is clean, neat, and well-organized.
  • Answer, screen, and forward incoming phone calls, ensuring professional telephone etiquette at all times.
  • Assist visitors, callers, or staff by routing calls to appropriate personnel within the organization.
  • Adhere to company protocols regarding client communications, maintaining the confidentiality of all department/client communications.
  • Evaluate shared workspaces at the end of the workday to identify special attention needed by housekeeping.
  • Manage and maintain daily itinerary, including managing parking permits.
  • Provide Administrative Support to the organization's office and program support as needed.
  • Coordinate staff hospitality processes, including ordering catered lunches, issuing condolences, and generating birthday and anniversary recognition materials.
  • Participate in assigned meetings, events, and learning as required. • Must have a minimum of 3 years of experience in a similar role
  • Proficiency in answering inbound calls in a professional and courteous manner
  • Experience in handling daily mail duties including sorting and distributing incoming mail
  • Skilled in document scanning and ensuring files are accurately stored and maintained
  • Proficient in filing and managing records, both electronic and paper formats
  • Excellent interpersonal and communication skills
  • Ability to work in a fast-paced environment and prioritize tasks effectively
  • Knowledge of using office equipment such as fax machines, photocopiers, and scanners
  • Strong computer skills, including proficiency in Microsoft Office Suite
  • High school diploma or equivalent required
  • Experience in the non-profit sector is an advantage
  • Ability to handle confidential information responsibly
  • Demonstrated ability to work both independently and as part of a team.
