We are seeking a highly organized and experienced Senior Administrative Assistant to provide exceptional support to our executive team and ensure smooth daily operations. This role is ideal for a proactive professional who thrives in a fast-paced environment and is adept at managing complex schedules, coordinating projects, and handling sensitive information with discretion.

Key Responsibilities:

  • Executive Support: Provide high-level administrative support to executives, including managing calendars, scheduling meetings, and preparing detailed reports and presentations.
  • Communication: Act as the primary point of contact for internal and external stakeholders, maintaining professionalism in all interactions.
  • Meeting Coordination: Organize and prepare for meetings, including setting agendas, arranging logistics, and taking and distributing meeting minutes.
  • Project Assistance: Assist with special projects, ensuring deadlines are met and deliverables are completed accurately.
  • Travel Management: Arrange domestic and international travel, including flights, accommodations, and detailed itineraries.
  • Document Preparation: Draft, review, and edit correspondence, reports, and other important documents.
  • Office Operations: Oversee and support various administrative functions, including expense tracking, invoice processing, and maintaining office supplies.
  • Team Collaboration: Work closely with other administrative staff to ensure alignment and coverage for executive needs.
  • Bachelor’s degree in business administration or a related field preferred.
  • 5+ years of experience as an Administrative Assistant, with at least 2 years supporting senior executives or leadership teams.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with project management tools.
  • Exceptional organizational skills and attention to detail.
  • Strong written and verbal communication skills.
  • Ability to prioritize and manage multiple tasks with efficiency and professionalism.
  • Discretion and professionalism in handling sensitive and confidential information.
  • Proactive problem-solving skills and the ability to work independently.
