Litigation Assistant, Office Manager
Two partners used to be federal prosecutors - they do high-end work!
Responsibilities of Role:
o Drafting, proofreading, and editing attorney work product
o Managing case file electronically, alongside the paralegal, in Google Drive and Clio (pleadings, client docs, comms with attorneys, etc. )
o Attorney calendaring
o Attorney correspondence management
o Interacting with CFO on question re. bills and invoices, getting those out (the paralegal does this too, but this person would run point)
“We have clients with unique billing software systems that the admin system has to figure out and upload correctly”
o Booking travel for attorneys
o Helping with litigation tasks such as formatting pleadings, generating TOAs/TOCs, and occasional filings (state and federal, but not a must-have)
The firm only has 4-6 active matters at once (emphasis of quality over quantity)
o General office management – making sure they are stocked up in snacks and coffee, receiving mail and sending it out, ordering holidays cards and client gifts, etc. This is probably 50% of the role!- Software: Clio for timekeeping, GoogleCal for calendaring, GoogleDrive for saving documents, Disco for document review, Westlaw for legal research, Unicourt for court research.
Details of Role:
- Hours: 9-5. OT if necessary, but not often. 7.5 hour day. 30 minute lunch break.
- Hybrid Schedule: Ideally this person is on-site 5x/week. However, for strong litigation assistant/office manager applicants, 3-4x/week is possible.
Profile that would be a fit:
o Someone who is burnt out on litigation and doesn’t want to run a full desk, but hop in here and there would be ideal!
o Prior litigation assistant/secretary experience (ideally on the defense side) is a huge plus!
o Someone who understands many hats must be worn at small firms
o Someone with an exquisite attention to detail (will be asked in the interview about how they’ve had to act this way)
o Someone who wants to find their next long-term home. They need more than a 2-year commitment. Stability in this seat is important!- Invoicing/legal billing knowledge
- Willingness to do office manager/admin work in addition to helping with litigation
- Ability to commute to DTLA 4+ days/week
