As our HR Assistant , your primary goal will be to ensure smooth day-to-day operations by managing essential administrative functions, maintaining employee records, and assisting in HR-related activities.
Your day to day activities will include the following essential duties and responsibilities:HR & Office Administrative Functions: -Ensure the accurate and timely submission of Form I-9 documentation before initiating the E-Verify process.-Leverage the onboarding system and work effectively with hiring office personnel to finalize new hire documentation and onboard new hires into the HRIS system before the bi-weekly payroll processing deadline.-Process personnel actions, such as changes in classification, salary adjustments, and promotions and terminations, using HRIS and other software programs.-Maintain personnel files and other HR records in strict compliance with regulatory requirements and company policies.-Administer employment and wage verification processes, liaising with federal investigators as needed.-Manage and oversee new hire reporting and unemployment claim responses across all states.-Provide comprehensive administrative assistance and support to the HR Department by drafting and distributing internal and external communication materials as required for various initiatives.-Handle sensitive and confidential documents and situations with discretion and professionalism.-Maintain office supply inventory to support corporate office needs.
Benefits Administration Functions: -Assist in coordinating and managing the Annual Enrollment process.-Provide timely support to employees by addressing inquiries related to health and welfare benefits, eligibility, payroll deductions, and other benefits-related concerns.-Build and maintain strong relationships with benefit carriers, resolving coverage discrepancies through direct communication and using carrier websites for benefits administration.-Assist with the annual 401(k) audit by compiling required documentation.-Process payroll deduction changes for benefits and answer basic plan-related questions, referring complex inquiries to the HR Director or the appropriate carrier/vendor.Qualifications required for success include:
-Must be US person with ability to accept direct W2 hourly employment-4 + years of proven experience in an administrative role, preferably in Human Resources.-An associate's or bachelor's degree in human resources, business administration, or a related field is preferred.
Will consider candidates with combination of education and experience that provides required knowledge, skills and abilities.- Knowledge of practices related to benefits
-Proven ability to handle sensitive and confidential documents and situations with discretion and professionalism.-Exceptional written and verbal communication skills, with a polished and professional demeanor.-Strong ability to work independently while also thriving in collaborative team settings.-Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and HR software (CostPoint preferred).-PHR or SHRM-CP Certification preferred.-Experience administering benefits for both contract and full time employees a plus.
