Purpose of the Position:

The Admissions Clearwater Advisor II meets enrollment objectives by sharing UMA’s mission, philosophy, and benefits to gain new student interest in both on and off-campus environments and via a number of communication methods, including in-person, telephone, and writing; meets school enrollment and start objectives in an accurate, professional, and ethical manner.

The Admissions Clearwater Advisor II interfaces with prospective students and those influencing the prospective student’s decision to attend/select our school as their school of choice. The Admissions Clearwater Advisor II maximizes the number of prospective students who enroll, as well as the number of enrollments who complete their provisional enrollment period (PRP) by ensuring that they have the information and resources they need to be successful as new students.

The Admissions Clearwater Advisor II reports to the Campus Operations Manager.
  • Pay rate of $26.00/hour

Key Responsibilities:

Generating prospective student interest
  • Participates in on and off-campus events in the community, including evening and weekend events, to generate interest from prospective students for UMA.
  • Develops and leverages relationships with community partners that may refer students to UMA.
  • Grows relationships with community partners to establish brand recognition and educational referrals by providing presentations, literature and informational sessions.
  • Maintains relationships with community partners through event participation, consistent outreach and meeting attendance.
  • Seeks opportunities to generate interest in UMA under the direction of the Campus Operations Manager.
  • Maintains communication with students to encourage student referrals and to promote re-enrollment of graduates into associate degree programs.
  • Host monthly on-campus activities to help generate student referrals and foster student relationships.
Responding to and qualifying prospective students
  • Answers inbound contact from various lead sources including but not limited to web, email, and SMS via UMA’s chat system.
  • Qualifies prospects’ eligibility to attend UMA and sets appointments with prospective students to tour the campus.
  • Completes outbound calls to maintain relationships with prospective and enrolled students.
  • Follows up in a timely and routine manner with prospective students according to best practices.
  • Records all interactions and efforts to reach prospective students into the student database according to UMA process.
  • Develops rapport and gains understanding of prospective student’s goals and eligibility for UMA programs.
  • Contacts potential students utilizing most appropriate method of contact (e.g., phone, email, etc.) to arrange campus visit.
  • Ensures student provides adequate proof of high school graduation or its equivalency (POG).
  • Answer inbound student chats from various sources including, but not limited to web, email, and SMS via UMAs chat system within the quality guidelines set in training.
  • Answer inbound admission chat inquiries, qualify prospects eligibility, and facilitate live transfers to the admissions chat team.
Enrollment
  • Conducts interviews with prospective students and builds rapport to gauge prospective students’ level of interest, their desired area of study, their time and availability for attending school, etc.
  • Conducts campus tours and facilitates program director or instructor meet-and-greets and financial aid overviews with Student Finance Representative.
  • Evaluates prospective students based on his/her needs, desire, interests, qualifications, motivations, commitments, and determinations in a qualitative manner to ensure, to the best of one’s ability, that there is a fit between an individual’s goals and disposition and a program.
  • Completes and maintains all required paperwork (e.g., enrollment, transfer requests, etc.) and data entry in an accurate, timely, and compliant manner.
  • Coordinates with Enrollment Coordinators, Registrar, and others to ensure enrollment paperwork is processed in a timely and accurate manner.
  • Accurately documents all assigned student tasks in the appropriate UMA systems.
  • Refers students as appropriate to financial aid and VA.
New student support
  • Participates in Campus Orientation with enrolled students on or prior to the start of their first day.
  • Ensures student has all necessary items available for successful program start, including scrubs, books, and badges.
  • Partners with Learner Services, Education, and Career Services to ensure student success throughout the life cycle of the student.
  • Maintains student communication prior to start dates and throughout students’ first two weeks of starting in their courses to ensure persistence, attendance, and student success.
  • Participates in, initiates, plans, and leads student engagement activities on campus throughout the PRP cycle.
  • Advises Learner Services Advisor and/or Instructor of issues, problems, notes, questions, and comments communicated by students.
  • Assesses student issues and provides input on improving overall student experience.
Teamwork
  • Teams with other Admissions employees to maintain focus on overall enrollment goals.
Support Institutional Initiatives
  • Keep current on institutional goals, objectives, and progress.
  • Engage in institutional sponsored activities and initiatives as appropriate.
  • Lead with courage in support of change initiatives that impact organization.
  • Manages and assists in coordinating efforts between departments within UMA.

Compliance:

  • Follows admissions criteria for all prospective students in accordance with all school policies and procedures, all applicable federal and state regulations, and all accrediting agency standards and requirements.
  • Follows all training and guidance as provided by the Campus Operations Manager.
  • Demonstrates knowledge of, and carefully follows all applicable federal and state compliance requirements and regulations including those prescribed by the Department of Education, accrediting agencies, CIE, and internal UMA policies and procedures.
  • Effectively communicates compliance requirements to students and other staff as appropriate and quickly escalates any compliance concerns to the Compliance department.

Work Experience, Skills & Abilities:

Minimum Requirements:

  • Minimum of a high school diploma or equivalent.
  • Minimum of 2 years of previous experience in education, customer service, sales, or related field.
  • Upholds all compliance standards by performing job duties while acting in accordance with all school policies and procedures, all applicable federal and state regulations and all accrediting agency standards and requirements.
  • Ability to be customer-centric by ensuring each prospective student has his/her needs met while developing and building collaborative relationships.
  • Manages work time effectively by ensuring all work is completed in a timely and efficient manner.
  • Presents information in a factual and ethical manner to prospective students and others regarding school’s programs, tuition, fee schedules, refund policy, payment plans and other college policies and procedures which impact students.
  • Strives to be a team player by working effectively in a team environment within and across Ultimate Medical Academy departments.
  • Supports a diverse and inclusive work environment.
  • Able to professionally communicate in verbal and written English.
  • Proficient in MS Office (Word, Excel, PowerPoint) and other business tools such as Skype and Microsoft Teams.

Preferred Requirements:

  • Associates Degree or equivalent.
  • Minimum of one year of experience in recruiting or admissions.

Work Environment/Physical Demands:

  • Office Environment – Must be able to work at the UMA Campus located at 1255 Cleveland Street Clearwater, FL 33755.
