We are in search of an Administrative Assistant to join our team in the Financial Services industry, situated in BLUE ASH, Ohio. This role offers a short term contract employment opportunity in which you will be tasked with handling a variety of administrative duties.
You will be the first point of contact for clients and other visitors, manage incoming and outgoing mail, and ensure the smooth operation of our office.
Responsibilities:
- Serve as the first point of contact, professionally greeting and directing clients and visitors.
- Manage incoming calls, directing them to the appropriate personnel and taking messages when necessary.
- Maintain an organized reception area to ensure a professional and hospitable atmosphere.
- Handle incoming and outgoing mail, including express mail services.
- Provide callers with necessary information such as company location, directions, and other related details.
- Assist with various clerical duties as needed to ensure efficient office operations.
- Maintain an orderly and efficient system for forwarding faxes to all employees and sending faxes to clients.
- Take responsibility for the day-to-day operations of the organization, including general upkeep of the suite and maintenance of office equipment.
- Ensure accurate and efficient processing and forwarding of incoming mail and publications.
- Perform other functions as assigned by management in response to changes in business conditions. • Candidate must have a minimum of 2 years of experience in administrative assistance or related roles within the financial services industry.
- Proficiency in using Microsoft Office Suite, particularly in Excel, Word, and PowerPoint is required.
- Strong organizational skills and ability to manage multiple tasks simultaneously is essential.
- Excellent written and verbal communication skills are necessary.
- Capability to handle confidential and sensitive information with discretion is crucial.
- Familiarity with administrative procedures, systems, and processes in financial services is preferred.
- Exceptional attention to detail and accuracy is needed.
- Ability to work independently and as part of a team is necessary.
- Strong problem-solving skills and ability to make decisions under pressure are desired.
- A bachelor's degree in business administration, finance, or a related field is preferred.
- Prior experience in a customer service role within the financial services sector is a plus.
- Knowledge of financial terminologies and principles is an advantage.
- Exceptional time management skills and ability to meet deadlines are required.
- Flexibility to adapt to changing priorities and willingness to learn new skills are necessary.
