Key Responsibilities:

  • Front Desk Operations: Greet visitors, clients, and employees with professionalism and a positive attitude, ensuring a welcoming environment.
  • Phone and Email Management: Answer and direct incoming calls and emails promptly and accurately, addressing inquiries as appropriate.
  • Administrative Support: Assist with various administrative tasks, including data entry, scheduling meetings, and maintaining office supplies.
  • Calendar Coordination: Manage conference room bookings and support the scheduling needs of the team.
  • Visitor Management: Maintain security protocols by monitoring visitor access, issuing badges, and logging visitor information.
  • Office Organization: Keep the reception area clean and organized, contributing to a polished and professional office environment.
  • Mail and Deliveries: Sort and distribute mail, handle courier services, and manage incoming and outgoing shipments.
  • Team Support: Provide general administrative assistance to other departments as needed.
  • High school diploma or equivalent required; associate degree or additional training in office administration is a plus.
  • Previous experience as a receptionist or in a similar customer-facing role is highly preferred.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and comfortable using office equipment.
  • Excellent interpersonal and communication skills, both written and verbal.
  • Strong organizational skills and attention to detail.
  • Ability to multitask and maintain composure in a fast-paced environment.
