Job Title: Event & Reservations Manager

Overview: We are seeking a highly organized and customer-focused individual to join our team as an Event & Reservations Manager at Moxy Hotel. This dual role combines the responsibilities of managing guest bookings and reservations with the coordination of event sales, production, and execution.

The ideal candidate will provide exceptional service to guests and clients, maintain accurate records, and ensure seamless operations across both reservations and events.

Key Responsibilities:

Event Coordination:

  • Assist the Director of Events in the sales, production, and execution of events.
  • Create and manage contracts through TripleSeat Software based on details provided by the Director of Events.
  • Email contracts to clients, finalize bookings, and handle deposit charging, posting, and BEO distribution.
  • Update and maintain accurate Banquet Event Orders (BEOs) in the reservation system as per client changes.
  • Prepare and print BEO menus, ensuring all details are accurate and up to date.
  • Conduct client site inspections and provide guidance as needed.
  • Serve as the onsite contact for events, ensuring that event setup and production align with client specifications.
  • Assist with event supply sourcing, ideation, and coordination with DMC visits.
  • Support Food & Beverage outlets during regular business hours outside of events.

Guest Booking & Reservation Management:

  • Oversee and manage all guest bookings and reservations for Moxy Hotel.
  • Ensure that reservation requests are accurately processed, updated in the system, and confirmed.
  • Maintain accurate records of reservations, including guest details, payment information, and special requests.
  • Address guest inquiries, assist with booking adjustments, and ensure a positive reservation experience.
  • Collaborate with internal hotel departments to ensure smooth reservation operations.

Collaboration & Communication:

  • Work closely with Moxy Hotel’s management to ensure that systems and information are readily available to facilitate seamless reservation and event management.
  • Communicate effectively with both internal departments and external clients to ensure smooth operations.
  • Coordinate with other team members to ensure that event execution meets or exceeds guest expectations.

Qualifications:

  • 3 Years minimum experience in event coordination and management, customer service, or hospitality is preferred.
  • Strong organizational skills with the ability to manage multiple tasks efficiently.
  • Excellent communication skills, both written and verbal.
  • Ability to work independently and collaborate effectively with other departments.
  • Proficiency with reservation and event management software (TripleSeat experience is a plus).

  • Strong attention to detail and a proactive approach to problem-solving.
  • Flexibility to manage both guest bookings and event coordination simultaneously, ensuring high-quality service in both areas.
