Position:

The primary focus of this position is to ensure that the day-to-day related operations run both smoothly and efficiently. This role requires a proactive, detail oriented and highly organized individual who displays excellent project management and communication skills.

Daily tasks include but are not limited to maintaining and optimizing daily calendars, making travel arrangements, maintaining all forms of correspondence, coordinating preparation for meetings, interfacing with different departments and employees across the organization, producing and handling highly confidential information, liaising with members of the executive office, management, clients and vendors on various projects and or meetings.

Responsibilities:

  • Manage all aspects of calendars and phone lines, as they relate to communication, travel and meetings, with emphasis on balancing priorities
  • Coordinate and prepare for various meetings, including reserving conference rooms, arranging for catering, preparing materials, scheduling key staff, creating travel arrangements, etc.
  • Maintain databases to ensure they are up-to-date
  • Provide a bridge for smooth communication between internal staff as well as clients and outside organizations, demonstrating leadership to maintain confidentiality, trust, support, and follow through with senior management
  • Complete expense reports and other miscellaneous administrative requirements
  • Create, maintain, and archive documents in an organized filing system
  • Document and adhere to best practices
  • Use available technology to appropriately improve processes
  • Organize events, as needed, and be the point of contact for all details of the event (logistics, venues, rsvp)
  • Execute special projects as assigned

Qualifications:

  • High School diploma required, bachelor’s degree a plus
  • 4-8 years of work experience preferably at a financial services firm with Executive support experience. Previous experience in a complex and fast-paced office is required.

Skills:

  • Strong Microsoft Office skills as projects will be done in Word, Excel and Power Point;
  • Strong communication skills,

  • Accurate and timely follow up and responsiveness
  • Must be able to cope effectively with deadlines and multiple demands
  • Strong organizational skills with outstanding written and verbal communication skills; experienced proofreader
  • Extremely reliable character with a demonstrated ability to handle sensitive information with complete discretion
  • Available to work overtime as needed

Compensation Range:

The anticipated base salary range for this role is $90,000 to $100,000. Base salary for the role will depend on several factors, including a candidate’s qualifications, skills, competencies, and experience, and may fall outside of the range shown.

In addition, this role may be eligible for a discretionary bonus.
