Role Overview

We are seeking a Salesforce & Marketing Cloud Administrator to manage and optimize our Salesforce ecosystem, enhance sales workflows, and oversee marketing automation. This role will own Salesforce CRM, Marketing Cloud / Account Engagement (Pardot), Data Cloud and system integrations to ensure seamless data flow between sales, marketing, and operations.

As the primary administrator, you will focus on automation, integrations, and lead management, collaborating closely with our marketing team and external partners responsible for journey and template creation. Additionally, youll be expected to identify, hire, and manage outsourced consultants or resources as needed to support specific projects.

This is primarily an on-site position in Richardson, TX, with some hybrid flexibility available for the right candidate.

Key Responsibilities

Salesforce & Marketing Cloud / Account Engagement (Pardot) Administration & Automation
  • Own and optimize Salesforce CRM and Marketing Cloud / Account Engagement (Pardot) to improve lead flow and sales enablement.
  • Design, test, and implement Salesforce Flows, automation rules, and triggers to streamline sales, marketing, and operational workflows.
  • Identify inefficiencies and proactively implement automation to improve efficiency.
  • Ensure automations roll out quickly and effectively, minimizing manual tasks for sales and marketing teams.
  • Monitor and troubleshoot issues related to Salesforce, Pardot, and integrations.
System Integrations & Process Optimization
  • Lead integrations between Salesforce, Account Engagement (Pardot), and other key tools (e.g., SMS platforms, analytics tools, website forms).
  • Automate manual data processes to improve efficiency across sales and marketing functions.
  • Collaborate with IT and data teams to implement scalable automation strategies.
Microsoft 365 Email Integration & Management
  • Oversee the integration of Microsoft 365 email with Salesforce to ensure comprehensive email tracking.
  • Resolve email tracking inconsistencies and standardize email logging and storage.
  • Develop and maintain reporting mechanisms to monitor email engagement and effectiveness.
Data Management & Reporting
  • Maintain data hygiene, enrichment, and reporting accuracy to support sales and marketing objectives.
  • Create real-time dashboards and reports to enhance visibility into sales activities and campaign performance.
  • Ensure data syncs seamlessly between Salesforce, marketing platforms, and business intelligence tools.
Training & User Adoption
  • Maintain and update training materials to ensure users understand best practices without unnecessary reinvention.
  • Proactively train and support sales, marketing, and operations teams to maximize Salesforce adoption.
  • Provide on-demand support and troubleshooting when needed, while ensuring documentation is updated to reduce repetitive issues.
Project Management & Resource Coordination
  • Identify and manage outsourced consultants or technical resources as needed (e.g., hiring freelancers from Upwork for specialized tasks).
  • Work closely with leadership to define and execute the Salesforce & Account Engagement roadmap.
  • Ensure Salesforce & Account Engagement initiatives align with overall business strategies.
Reporting Structure & Collaboration
  • Reports to: One of the firms owners/partners, with weekly check-ins for project prioritization.
  • Regularly interacts with: Other owners/partners on various Salesforce-related projects and reporting.
  • Works closely with:
  • Sales team & brokers Ensuring Salesforce is optimized for their workflows, automating manual tasks, and driving adoption.
  • Marketing team & external agency Aligning Account Engagement (Pardot) automation with marketing strategy.
  • All Salesforce users (approx. 30 licenses) Training and supporting users to maximize adoption and efficiency.

Requirements

Required Qualifications

Certifications
  • Salesforce Administrator (ADM-201)
  • Marketing Cloud Account Engagement (Pardot) Specialist
Experience
  • Over 5 years of experience in Salesforce Administration
  • Expertise in Salesforce Flows, Process Builder, and automation best practices
  • Proven track record of designing, testing, and deploying automation solutions based on business needs
  • Experience in creating automation rules, lead scoring, and segmentation in Account Engagement (Pardot)
  • Proficiency in Salesforce integrations, including APIs, third-party tools, marketing automation, SMS, and analytics
  • Strong skills in integrating Microsoft 365 email with Salesforce and resolving tracking issues
  • Excellent project management abilities to oversee Salesforce & Account Engagement initiatives and manage external resources as needed
  • Ability to analyze business needs and recommend scalable Salesforce & Account Engagement solutions
  • Deep expertise in Salesforce automation, security, user management, and reporting, equivalent to an Advanced Admin skill level
