We are offering a long term contract employment opportunity for a Facilities Coordinator. This role involves ensuring the smooth running of our facilities through various administrative and maintenance tasks within the industry.

Responsibilities:

  • Ensuring the entire site is in good condition and carrying out any necessary maintenance.
  • Regularly checking and restocking the break room as needed throughout the day.
  • Greeting individuals and providing a welcoming environment.
  • Setting up meeting rooms according to requirements.
  • Handling ad hoc needs as they arise and closing up facilities at the end of the day.
  • Responding to client inquiries and concerns promptly to maintain high levels of customer satisfaction.
  • Creating work orders and assigning them to technicians, subcontractors, and vendors.
  • Keeping track of open and closed work orders and maintaining regular communication with technicians or vendors regarding status.
  • Maintaining files on work orders, proposals, and department files, and ensuring the accuracy of paperwork submitted by vendors.
  • Training vendors on work order and billing procedures and processing invoices with correct cost center coding.
  • Using PC or PDA for work order systems, email, and training, and assisting with process and procedure training.
  • Providing quality service delivery to clients and following up to ensure customer satisfaction.
  • Demonstrable experience in Customer Service
  • Proven skills in Training staff and stakeholders
  • Ability to develop effective Procedures for efficient operations
  • Proficiency in handling Invoice and Billing processes
  • Experience with managing Vendors and contracts
  • Familiarity with Check Processing and related financial tasks
  • Ability to organize and manage Paperwork efficiently
  • Experience in handling detail-oriented Correspondence
  • Ability to Perform Ad Hoc Financial tasks as required
  • Commitment to Customer Satisfaction and service excellence
  • Knowledge of Coding procedures and practices
  • Proficiency in Microsoft Office Suites for administrative tasks
  • Experience in Closing deals and contracts
  • Ability to Resolve Issues promptly and efficiently
  • Experience in handling Complaints and customer queries
  • Knowledge of Company Policy and adherence to the same
  • Understanding of business Principles and their application
  • Familiarity with PC OS for daily tasks
  • Ability to manage Work Orders efficiently
  • Strong Analytical Skills for problem-solving
  • Commitment to providing Quality Service at all times
  • Skills in Language Interpretation for diverse communication
  • Ability to Maintain Files and records systematically
  • Familiarity with managing Cost Centers and budgeting.
