Airlink and its airline partners have transported nearly 14,000 passengers and 6,700 tons of cargo in support of a broad range of humanitarian initiatives that have provided aid to more than 64 million people. Airlink has saved our NGO partners more than $43,000,000 in transport costs.
As Airlink celebrates its 15^th anniversary in 2025, we are looking ahead to the next five years, with annual goals that call for increasing our team by 25%, refining our fundraising strategies, and strengthening our brand. To that end, we are seeking an executive affairs associate to support our President & CEO’s increasing external relations portfolio.
Position Summary
The executive affairs associate (EA) will coordinate and manage executive scheduling, organize CEO travel and speaking engagements, and support the Board of Trustees. The EA will report to the CEO but work in service of the whole organization.
This role’s dynamic nature requires exemplary administrative and people skills. To be successful in this role, you must build relationships and communicate effectively with a broad range of stakeholders, including fellow staff and consultants, the Board, and external partners.The ideal candidate will be a proactive self-starter who is comfortable with ambiguity, excels in a fast-paced environment, and is able to identify and anticipate the CEO’s needs.
Due to the nature of Airlink’s mission in support of disaster response, there will be an occasional need to work extended hours or on weekends with limited advance notice.
Primary Responsibilities
Manage the CEO’s calendar & travel.- Develop and maintain a calendaring process, ensuring that meeting and event requests are appropriately prioritized and followed up on in a professional and timely manner.
- Ensure the CEO’s schedule balances and prioritizes the needs of direct reports, the board of trustees, and external partners.
- Book travel and accommodations and troubleshoot any problems that may arise; reconcile expenses.
- Manage conference attendance, including registrations, ancillary meeting scheduling, and coordination of briefing materials.
- Attend meetings, prepare meeting notes/minutes, and draft e-mail correspondence as requested.
- Manage senior team and all-staff meetings, including scheduling and meeting notes.
- Support maintenance of the organization-wide calendar, including travel, birthdays, and anniversaries, ensuring the CEO’s awareness and acknowledgement.
- Perform other duties and job-related tasks that may be assigned by the CEO.
- Maintain Board management tool, OnBoard, including trustee data and organizational records.
- Manage meeting calendar and correspondence, including distribution of meeting materials.
- Organize annual Q4 in-person Board of Trustee meeting logistics.
- Draft and issue meeting minutes.
- 2+ years of previous experience supporting and communicating with C-Suite executives.
- Bachelor’s degree or relevant work experience + High School diploma.
- Extremely proficient with Google Suite and/or Microsoft Office Suite.
- Experience working with Salesforce or comparable CRM system and Monday.com or comparable PM system.
- Outstanding organizational and multi-tasking skills.
- Experience managing diverse stakeholders with sensitivity, discretion, and tact.
- Ability to thrive in a fast-paced and ever-changing environment.
- Unrestricted authorization to work in the United States.

- Ability to operate in a constantly changing environment across time zones and varying work hours.

Location
Airlink is headquartered in downtown Washington, D.C. and currently operates a hybrid work schedule with the team in-office three days a week. Given the collaborative nature of this position, we are only considering candidates in or willing to relocate to the Washington, D.C. area.
Compensation & Benefits
The salary range for this position is $65,000 to $80,000. Additionally, Airlink provides a comprehensive benefits package including, but not limited to:
