Context:

We’re looking for a new Project Administrator in our Infrastructure Group to help drive the objectives and challenges our valued clients have trusted us to solve for them. This position will be located in Chicago.

As a SYSTRA US Project Administrator you will join a world-class team of high-performing engineers, designers, drafters and others who work collectively to ensure client projects continue to thrive while remaining on track and budget.

Missions/Main Duties:

Duties and Responsibilities:

  • Complete the onboarding of project staff including the completion of forms, job start notifications, SharePoint access, authority access and other user access management tasks including processing and tracking access changes for new and existing users and manage access SYSTRA activation records for multiple platforms
  • Ensure project filings are correct (minutes, reports, memos, emails)
  • Provide basic training on web-based tools and processes as part of a comprehensive project management platform to all tiers of project staff including designers, contractors and consultants
  • Achieve a high level of client satisfaction when working with peers, internal and external stakeholders and external clients
  • Effectively research and respond to general support questions from Project team members, applying knowledge of applications and system requirements
  • Draft and revise internal guidance documentation that captures current best practices for administrative or controls procedures
  • Coordinate/participate in formatting and quality reviews of large and small documents such as reports, letters, memos, minutes
  • Manage, archive, track, and retrieve electronic and physical documents according to project specific standards and retention policies
  • Assist team in other project controls and project administrator duties
  • Assist team in special project assignments (e.g. writing Project Reports or Management Guidelines)
  • Coordinate and schedule project meetings, prepare meeting agendas, and track/resolve action items
  • Perform data analytics reporting
  • Paperwork and filing for assigned project(s)

Profile/Skills:

Required Qualifications:

  • Experience on large design or construction projects with multiple delivery methods
  • Minimum 5 years of project administration experience
  • Good organization skills
  • Expertise using Microsoft Office products and software packages
  • Great communication in both verbal and written form
  • Ability and comfort working with project executives, client contacts and technical team members
  • Some experience with report generation, project controls administrative functions and other data work for the assigned project

  • Four-year degree

Salary Range: $65,488-$91,684, SYSTRA USA is providing the compensation range that the company believes it might pay and/or offer for this position, based on the successful applicant’s education, experience, knowledge, skills and abilities in addition to internal equity and specific geographic location.
